Description
The United States Equal Employment Opportunity Commission (EEOC) has developed a program of Technical Assistance Program Seminars which will provide training to employers and labor organizations on laws enforced by the EEOC. The Dallas District Office will conduct a two (2) day seminar in the Dallas, Texas commuting area with an anticipated attendance between 200 to 275 participants. The Contractor shall provide a full service training facility to include: training rooms, meals, audio visual, training aid supports. The seminar will begin each day at 8:45 a.m. with registration and a continental breakfast starting at 7:30 a.m. and end at 5:00 p.m. Requirements include the following: One (1) large room for plenary sessions with classroom style seating for up to 275 registrants between 8:00 a.m. and 5:00 p.m. This room shall include a table with three (3) chairs, situated at the front of the room equipped with podium and microphone on a riser, as well as two (2) hand-held cordless microphones for the large room. There shall be sufficient space at the back of this room to place additional chairs, if needed. From 11:00 a.m. to 5:00 p.m., a total of three (3) rooms for breakout sessions with classroom style seating accomodate 75-125 registraints. Each breakout room should be equipped with a table and chair at the front, a podium with microphone and one (1) hand-held cordless microphone. Plenary and breakout rooms must have a suitable sound system so all participants may hear and ask questions of the speakers. Registration tables with eight (8) chairs positioned outside the large room for seminar registration purposes which will occur each day between 7:30 a.m. and 11:30 a.m. CONTINENTAL BREAKFAST. To be served each day between 7:30 a.m. and 9:00 a.m.(i.e., a selection of Croissants, Danish pastries, Muffins and freshly brewed decaffeinated and non-decaffeinated coffee, tea and assorted fruit juices). MORNING BREAK. (including at a minimum a refresher of coffee service). To be served each day between 10:15 a.m. and 10:30 a.m. Please provide recommended list of beverages and their related prices. LUNCH. each day (please provide various recommended lunch menus, with prices per person). sit-down business luncheon, served between 11:30 a.m. and 1:30 p.m., room to accomodate up to 275 registrants (not the plenary room), round tables, luncheon should include appropriate condiments, decaffeinated and non-decaffeinated coffee and tea (hot and iced). AFTERNOON BREAK. (to be served each day between 3:00 p.m. and 3:15 p.m., beverages and ice water. Please provide recommended list of beverages and their related prices. AUDIO VISUAL EQUIPMENT: (3) Podiums with microphones, (4)Hand-held cordless microphones, (3)Flip Chart easels with paper pad and markers, (3) Overhead projectors with screens, (3)TV/VCR monitors, (1) Moveable Cart with electrical connections and cords to accommodate the use of EEOC's LCD Projector and Laptop Computer. GENERAL REQUIREMENTS: Adequate parking spaces for all registrants, all facilities, including restrooms and audio-visual equipment must be fully accessible to individuals with disabilities, accommodations for individuals with disabilities may include, but not necessarily limited to, wheelchair ramps and accessible parking spaces, elevators, sound systems and aisles.
