Large and Small Businesses are invited to answer this market survey to determine market capabilities. Hurlburt Field, FL, is conducting market research to determine price and capabilities information for Records Management Systems. We are requesting industry vendors to provide a technical solution to our records management requirements. Records management is a manual process where records searches are conducted manually. This is neither repeatable nor defendable. The Air Force has moved from hardcopy paper filing to an electronic filing system that utilizes an Electronic Records Management (ERM) storage shared-drive. The process of filing official records has become tedious and time-consuming, is not user-friendly, and retrieving official records is unnecessarily labor intensive. An automated records management solution will improve the timeliness and consistency of outcomes and reduce the burden of records management on the end users. AFSOC is looking for a user-friendly enterprise tool that will offer an effective records management solution. This enterprise tool will have the capabilities to automate the records management system and discover all official records with a powerful search capability. The official record's metadata must be automatically synchronized with an automated DOD 5015.2 compliant system, "Google-type" search engine, and the ability to tag data for access, search and disposition. Lastly, it will have the capabilities of e-discover for FOIA, investigations, and deletion of records per the disposition instructions. The technical requirements for the records management tool are seamlessly integration with Air Force active directory, CAC authentication, and the solution must be compatible with current and future version of Microsoft Office. Additionally, this tool must have the capability to file, retrieve, tag, save and archive large video files in its native format. AFSOC's records management solution must be a DOD accredited system with authority to operate on the Air Force and Department of Defense Network. The storage and transport infrastructure of this tool may be hosted in a Cloud environment or on the local premises. This request may not directly lead to a Request for Quotation/Proposal. Required Information: Any interested party who can offer all of the above may submit a written reply addressing each of the capabilities/requirements and defining how their location is capable of ALL of the minimum requirements listed above. Response deadline : 1:00 p.m. CST, 15 August 2016 Where to send responses : Stephanie McCullough stephanie.mccullough@us.af.mil 850-884-6613
