- RFQ VA248-15-Q-1492 Hotel/Motel Service AMENDMENT #2 Questions & Answers QUESTION 1: Will you accept submissions from third partied for the above referenced request? ANSWER: The VA is seeking Licensed Owner/Operators of Hotels/Motels in Pinellas County area for this requirement. The VA will be scheduling our veterans directly because of our requirement of verifying veteran's eligibility for the provided service. QUESTION 2: Do you need hotel lodging rooms with 1 or 2 beds? ANSWER: Yes. Double beds will be needed as there will most likely be someone accompanying the veterans. QUESTION 3: Will sofa sleeper beds be acceptable for the additional person accompanying the veteran? ANSWER: Yes a sofa sleeper will suffice. QUESTION 4: Does the bathrooms need to have roll in showers in order to be ADA compliant? ANSWER: Yes, with ADA approved grab bars and shower seats. QUESTION 5: The start date for this project is October 1, 2015 which is the beginning of the new per diem rates, can we bid based on the increase? ANSWER: Since the requirement begins October 1, 2015, use those per diem rates for the same date. QUESTION 6: Bay Pines, FL is not listed on the per diem query, do we use the rate for Pinellas County? ANSWER: Yes, as Bay Pines, FL is located in Pinellas County, Florida. QUESTION 7: Is a negative rating assigned if there is no past performance for long term accommodations? ANSWER: No a negative rating will not be assigned. The Government is looking to see that similar service for a room was provided such as for a group. QUESTION 8: Can the rates be seasonal? I've spoken with quite a few hotels in regards to Feb through Apr of each year and they would need to increase rate for those time periods. ANSWER: No. All bids must reflect a flat rate for the entire year. QUESTION 9: Other VA's that I worked with have done a weekly list and then made changes daily if need be but I've also had VA groups that didn't send out final count until 4pm day of. Can you please let me know how far in advance hotels would receive the daily list? Again, this is only a problem for the high demand months Feb-Apr. ANSWER: Reservation requests are made daily. Some reservations are made a month in advance and some are made same day. There will be possible changes made daily due to medical issues, etc. A standard release time of 6pm will be in place. However, times can be adjusted between the Contractor and the Coordinator. QUESTION 10: Is there a current incumbent and if so can please share who that is and at what rate? ANSWER: We will not be giving any past incumbent or rate information. This is a solicitation where all parties have to place a bid to compete for this contract.
