Description
THIS SOURCES SOUGHT IS NOT A REQUEST FOR PROPOSAL: It is a market research tool being used to determine potential and eligible business firms that are capable of providing the services described herein prior to determining the method of acquisition and issuance of a Request for Proposal. The NAICS for this requirement is 721110 with a size standard of $32.5 million. All interested businesses are encouraged to respond, regardless of business size. The results of this Sources Sought will be utilized to determine if any Small Business Set-aside opportunities exist. All Small Business Set-aside categories will be considered. In addition, this market research tool is being used to identify potential and eligible firms, of all sizes, prior to determining the method of acquisition and issuance of a solicitation. If a solicitation is released, it will be synopsized on the Federal Business Opportunities (FedBizOpps) website. It is the responsibility of the potential offerors to monitor this site for additional information pertaining to this requirement. The Vermont Air National Guard is seeking a venue to hold a Yellow Ribbon event in December beginning Friday December 4th 5pm through Sunday December 6th, 12pm. The lodging location needs to have a family friendly environment that will allow our service members and their families to relax after the rigors of an overseas deployment. The preference would be an all-inclusive recreational resort setting centrally located in Vermont to allow maximum participation for all. Lodging requirements: Room price must not exceed government per diem rate and will be inclusive of all charges. Overnight accommodations for approximately 240 families will be needed for both Friday and Saturday night. If a secondary hotel is needed for additional lodging, the secondary hotel must be within walking distance of primary hotel. Conference space: One large meeting room for general session to accommodate approximately 375 people, 2 large rooms to accommodate up to 150-175 each. An additional breakout space that can accommodate up to 100 attendees may be required as well. 2-3 rooms for childcare with space to accommodate up to 20 children. Space for up to 20 resource providers to include 20-25 tables is also required. There will be a need for a registration/check in area to include 4-6 tables and accompanying chairs. Meal requirements: The venue will provide a buffet dinner Friday night, breakfast, lunch and dinner Saturday, breakfast on Sunday. Children's meals will be served in childcare space. Audio/Visual Requirements: Full A/V package for general session to include podium, stage, screen & projector. Laptop not required. VTANG may use its own A/V and have ability to patch in to house sounds system and existing electrical outlets with no hotel usage or patch fees. It is requested that businesses submit to the contracting office a brief capabilities statement package demonstrating ability to perform the services (number of rooms, size of conference space, catering capabilities.) Additionally, in your response include proof of System for Award Management (www.sam.gov) registration, if applicable. SAM registration will be a requirement for award, but is not necessary at the time of your submission to this sources sought announcement.
