Industry Day Announcement for Thule Base Maintenance Contract (BMC) Subject This notice is to inform interested parties of an Industry Day for the Thule Base Maintenance Contract (BMC) to be held on 24 - 26 June 2013 at the Embassy of the United States of America, Copenhagen, Denmark. The purpose of this event is to gather and discuss industry inputs relative to the base operations and maintenance services at Thule Air Base, Greenland. Due to security procedures, all companies interested in attending the industry day must submit the below information no later than 1500 Central European Time (CET) on14 June 2013. Each interested company may send no more than four (4) representatives: (1) Company name and address (2) Full name(s) of those representative(s) planning to attend (3) Representative(s) official company title/affiliation (4) Representative(s) email address (5) Representative(s) contact phone number Upon receipt of your company's information, you will be added to the attendee list. The consolidated list of attendees will be presented to Embassy Marine Guard personnel to allow embassy entry. Each attendee must present a picture identification to Embassy guard personnel at main entrance. No electronic devises will be allowed into the Embassy. Description The 21st Contracting Squadron, Detachment 1, is seeking interested parties to provide base operations and maintenance support for Thule Air Base (AB), Greenland. Base support consists of the following services: supply and purchasing, fuels management, airfield and airport operations, air traffic and transportation management, water port operations, civil engineering operations, vehicle operations and maintenance, fire protection, environmental management, health services, food services, recreation and community services, non-sensitive communications management, and weather operations. The Contractor will also be responsible for individual operation and maintenance projects, negotiated separately and added by contract modification. Industry Day will provide an open forum to discuss critical topics relative to challenges associated with the Thule AB BMC. The Air Force is very interested in hearing any innovative approaches or suggestions in the performance work statement that would allow for cost savings. Please be prepared to discuss these innovations/approaches with the Contracting Officer in the open forum or during one-on-one meetings. Open Forum An open forum meeting is planned for 24 June 2013 from 09.00 to 12.00. The US Government will conduct a short presentation and then will open the floor for questions and discussions. This forum will take place in the US Embassy auditorium. One-On-One Meetings An opportunity for one-on-one meetings, not to exceed 90 minutes, will be available 13.00 - 16.30 on 24 June and all day on 25 and 26 June at US Embassy basement meeting room. Please note this is not a marketing opportunity, rather a chance to ask technical questions, provide feedback on the draft RFP Sections L&M and the PWS, and discuss company capabilities. All companies interested in scheduling a one-on-one meeting must submit the following: - Name and address of the company interested in attending the meeting. Identification by full name, position title and contact information. Please review the draft Thule BMC Performance Work Statement (PWS) and Request for Proposal (RFP) Sections L and M, which will be posted at a later time on FedBizOpps.com and provide a list of questions for the Government to address in the one-on-one meeting by14 June 2013. Answers to questions submitted before, during and after Industry Day will be redacted for company information and made available on the Federal Business Opportunities (FedBizOpps) website at http://www.fedbizopps.gov. Meeting time slots will be assigned by the Government to interested companies. Please let us know if you have attendees that are traveling from out of town and we will do our best to accommodate schedules. The One-on-One Meeting Schedule will be posted to FedBizOpps by 19 June 2013. Attendees are encouraged to provide a company capability statement. The company capability statements must be submitted no later than 15.00 CET on 14 June 2013 as follows: E-mail the documents to the Contracting Officer, Patrick King, at patrick.king@det1.dk and the Contracting Specialist, René Streander at rené.strenader@det1.dk. Telephone calls may be made to clarify information, but please do not provide requested information via telephone. Capability statements are limited to: - 10 Pages. A page is defined as each face of an A4 sheet of paper containing information. Two pages may be printed back-to-back on one sheet of paper; however each printed side of the page will count as one page. All material must be contained within the page limit identified; excess pages will not be read. Text. Type size will be no smaller than Microsoft Word Arial 11 point font, normal proportional spacing. Charts and Tables. Foldouts used for charts, graphics, tables, exhibits or diagrams shall be printe on A4 paper. For page count purposes, foldout pages will count as two pages each. Text used in charts, graphics, tables, exhibits or diagrams may be single-spaced and shall be at least six (6) points in height after final reduction. Photo reduced foldout pages will not be allowed. Capability statements should include: 1. Core competencies - Short introduction statements relating the company's core competencies to the agency's specific needs followed by key-word heavy bullet points. This is NOT everything a firm is able to do, but the core expertise of a firm, specifically related to the agency this Capability Statement is written for, its mission and identified opportunities. 2. Experience - Describe company skill set and/or field of knowledge and length of time in business. Also describe any work accomplished in an arctic and/or remote environment. 3. Corporate data - Include one or two short sentences with a company description detailing pertinent history. Include: the size of your firm, your revenue, the number of employees you have, and the typical geographic area you serve. 4. Disclaimer This Industry Day is solely for informational planning purposes and shall not be considered as a request for proposal (RFP) or as an obligation on the part of the Government to acquire any products or services. The Government does not plan to award a contract based on the responses from this Industry Day or otherwise pay for the information solicited. No entitlement to payment of direct or indirect costs of charges by the Government will arise as a result of contractor participation in this Industry Day or the Government's use the resulting information. The Government reserves the right to reject, in whole or in part, any contractor's input to this Industry Day. This notice does not constitute a solicitation for proposals or the authority to enter into negotiations to award a contract. No funds have been authorized, appropriated, or received for this contemplated effort. The information you provide may be used by the Department of Defense in developing an acquisition strategy, a statement of work/statement of objectives, and performance specifications. The information resulting from this Industry Day may be included in one or more RFPs, which will be released to industry. Industry is encouraged to respond with information not constrained by proprietary data rights. However, if proprietary data is included in your reply, please mark it appropriately. Any subsequent actions resulting from the evaluation of the information provided as a result of this Industry Day may be synopsized at a future date. If synopsized, information detailing the specific requirements of this procurement(s) will be included.
