Description
Printer Inventory for all IRS locations nationwide This is a sources sought notice. The purpose of this notice is to obtain market research information from all vendors that are capable of providing the described services. The Government's determination on how to compete the proposed requirement will be made based on responses to this notice and is at the sole discretion of the Government. This notice is issued solely for information and planning purposes and does not constitute a Request for Proposal (RFP). Respondents are advised not to include any confidential business information with a response as the Government does not guarantee confidentiality of the information received. The purpose of this request is to gain knowledge of potential qualified companies capable of providing the following Management Printing Services below. This requirement will provide the services below for all of IRS Nationwide. (Headquarters, Midwest, Northeast, Southeast, Southwest & Western). The vendor interested in this requirement shall be able to provide Managed Print Services which involve managing hardcopy devices such as printers in a unified fashion. • Acquire High Yield OEM cartridges for multiple brands of printers (See Attached Printer list) • Acquire Photoconductors, fusers, waste bottles, Print heads, Transfer Roll, Belt Cleanser Assembly, and Accumulator Belt • Acquire Maintenance Kits for multiple brands of printers - Photoconductor kits, Imaging Drum kits, Transfer Kits • Delivery within 24 - 48 hour -of order being placed by the IRS to the Vendor. If order cannot make 24 - 48 hour delivery, the order will be canceled • Direct shipment to the end user, location will be included in every order • Toner Cartridge Recycling with credit on all recycled cartridges - Contractor shall provide a trade-in credit for each cartridge recycled by the IRS of which the credit will be applied to future toner purchases on this contract • Maintenance kits Recycling with credit on all recycled maintenance kits- Contractor shall provide a trade-in credit for each Maintenance Kit recycled by the IRS of which the credit shall be applied toward future maintenance kit purchases on this contract • Printer Service & Support - The contractor shall provide On-site, next business day service with a 4-8 hour telephone response time and use certified technicians to cover every IRS location including Puerto Rico, Alaska and Hawaii. Repairs for all items under this contract shall be completed within 24-48 work hours of initial notification to the contractor • Printer Environment monitoring software/capability - The contractor to show IRS their service capability of monitoring printer environment from error alerts, toner usage, printer performance etc. • Monthly/quarterly printer environment reporting - The contractor shall provide a monthly/quarterly report that identifies 75% of commonly purchased toner cartridge per month/quarter • Defective product return process - The contractor shall provide a solution for the return and replacement of defective cartridges that is acceptable to the government RESPONSE REQUIREMENTS: All are hereby invited to submit a Statement of Capability. Statements of capability MUST identify two (2) or more contracts (INCLUDING CURRENT POINT OF CONTACT INFORMATION) in which the interested party served as the prime contractor. Statements must specifically address the contractor's ability to deliver and provide maintenance within a 48 hour turnaround. Statements must also include a cover letter that includes the company name, address, telephone numbers, facsimile, email address, and business classification. Responses and questions must be submitted electronically via e-mail or facsimile no later than March 30th, 2012. Oral questions and inquiries will be treated as NON-RESPONSIVE. THE SUBMISSION OF THIS INFORMATON IS FOR PLANNING PURPOSES ONLY AND IS NOT TO BE CONSTRUED AS A COMMITMENT BY THE GOVERNMENT TO PROCURE AN SERVICES, NOR DOES THIS IRS INTEND TO AWARD A CONTRACT ON THE BASIS OF THIS REQUEST FOR INFORMATION OR OTHERWISE PAY FOR THE INFORMATON SOLICITED.
