- This is a 100% Small Business Set-aside. All responsible sources may submit a written quote which, if received timely, will be considered for award by the agency. No phone calls please. If you have questions or would like a copy of the solicitation please provide it in writing. The purpose of this contract is to provide transcription and court reporting services for the Advisory Board on Radiation and Worker Health. Specific tasks include: 1. Board Meetings a. Verbatim Recordings -- Individual is to provide verbatim voice writing recordings of all meetings of the Advisory Board on Radiation and Worker Health. Individual is to use a speech recognition system to record these meetings. As back-up to the speech recognition recordings, each meeting must also be recorded on audiotape. Board meetings typically last 3 days and the first two work-days are usually 12 hours long, with the third day being 8 hours. Individual is required to be present for the entirety of each Board meeting. Equipment is to be set-up and ready for the start of each meetings. Meetings are held at locations across the United States, usually in close proximity to Department of Energy (DOE) sites that are covered under the Act. In the past, meetings have been held in Washington, DC; Cincinnati, OH; Chicago, IL; and Denver, CO; Charleston, SC; and Oakland, CA. There are typically 8 board meetings per year. b. Written Transcripts / Written transcripts of the verbatim voice recordings are to be provided to the project officer within one month of completion of the meeting. To ensure that information contained in the transcripts is verbatim, the information should be verified against the audio tapes. Transcriber will need to ensure that proper names and technical/scientific terms are spelled correctly. Individual will need to obtain copies of attendees list and public speakers list to add to the transcripts. As required, prior to the submission of the transcripts, individual may be called upon to provide verbatim information contained in the transcripts to the project officer. Individual is to provide 9 hard-copy and 1 electronic version of the transcripts to the project officer. c. Meeting Minutes / Using the information contained in the written transcripts, individual is responsible for providing minutes for each Board meeting. Minutes should not be a day-to-day account of the Board meeting, but rather a report where discussion on a particular topic, which may have taken place over several days and at different times is all presented in the same location. 2. Workgroup Meetings/Conference Calls a. Verbatim Recordings -- Individual is to provide verbatim voice writing transcripts of all workgroup meetings of the Board. A minimum of 15 workgroup meetings/conference calls will be held each year.. b.
