Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with Federal Acquisition Regulation (FAR) 12.6 and supplemented with additional information included in this notice. This solicitation is issued as a request for quotes (RFQ) in accordance with FAR Parts 12 & 13. The provisions and clauses incorporated into this solicitation document are those in effect through Federal Acquisition Circular 2005-54. Provisions and clauses incorporated by reference have the same force and effect as if they were given in full text. The full text of the Federal Acquisition Regulation (FAR) and Defense Federal Acquisition Regulations supplement (DFARS) can be accessed on the internet at http://farsite.hill.af.mil/. This announcement constitutes the only solicitation; quotes are being requested and a written solicitation will not be issued. A proposal submitted by an offeror that is not a hotel, the offeror must describe in its proposal the technical approach for the offeror's services as a prime contractor and must also include a copy of all insurance (s) (standard business, liability, extraordinary insurances) in order to submit a complete technical proposal for evaluation purposes. (Again, this is not a solicitation for Event Planning Services. An offer which requires the Government to Execute a separate agreement with a third party shall be deemed technically unacceptable). The solicitation is issued as a request for quotation. The New Jersey Army National Guard will be awarding a Firm-Fixed Price Contract for a Yellow Ribbon Event (which requires lodging, meals and meeting rooms for events) with an anticipated participation of 190 guests on Friday, March 16th and 190 on Saturday March 17th, Sunday 18, 2012. Guests will be arriving on Friday, March 16th 2012. Solicitation Closes: Thursday, 01 March 2011 at 2:00pm EST All quotes must be received electronically by email to felipe.marquezjr@us.army.mil and ngnj-uspfo-njcontracting@ng.army.mil by the closing date and time. All questions must be emailed to the email address listed above. Award Information: All responsible quotes received by the closing date and time will be considered for award. To be eligible for award for this solicitation, the offeror must be registered in the Central Contractor Registry at (www.ccr.gov). The Government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be more advantageous to the government, price and other factors considered. The following factors shall be used to evaluate offers. Technical capability, Price, Past Performance, socioeconomic status, and item characteristics and company initiatives supporting environmental protection programs and location. All evaluation factors other than price, when combined, are approximately equal to price. Open Market pricing is required. All conference space must be available for exclusive use Saturday and Sunday from 6:30 am-4:30 pm. Qualified establishments shall be located within a 10 mile radius of Atlantic City,NJ. Establishments who do not provide a proposal based on receipt and review of this statement of work will be deemed non-responsive. The Statement of Work is as follows: 1.Conference/meeting space for approximately 190 adults, banquet style in rounds/half rounds of 6 and 8 depending on event (Fri, Sat and Sun). 2.Two meeting rooms or space for child and youth care (Sat and Sun). Space for a command and control center with the flexibility to remove tables and chairs as needed. Include a whiteboard in the rooms. Shuttle provided by the hotel to transport children to offsite local venue or activity site (To be determined) 3.general session room with classroom seating for 175 personnel. 4.Space /tables for support providers/vendors in conjunction with general session, minimum of 30 tables. 5. AV support to include LCD projector, screen, PA system with clip-on and handheld wireless microphones, TV with DVD and game system in kids room. 6. Breakfast buffet in common area/conference room for approximately 190, full breakfast to include eggs, meat, potatoes, selection of fruits and muffins/breads, cereal, coffee, tea and juice at or below the government per-diem rate to include all gratuity and service fees. a.
