Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. General Requirements: 1) The conference needs to be held at a full service hotel in the Denver metro area. Property must be within walking distance to a Light Rail station, multiple restaurants, and recreational venues (i.e. museums, movie theatres, bowling alleys, sports bars, etc.) 2) Restaurant and full service bar on premises. 3) Shuttle to/from airport must be available. 4) Site survey must be completed to approve property. Lodging Requirements: - Hotel accommodations for approximately 40 individually billed rooms at or below government per diem rate checking in Thursday and checking out Sunday. - Must include wireless internet at no additional cost. - Room checkout extended to 1:00PM. Daily Requirements: Thursday June 7, 2012 - Hotel accommodations for approximately 40 individually billed rooms at or below government per diem rate - Informal gathering area with bar and light refreshments available for purchase. This may be a bar or lounge onsite that is open to the public. Friday June 8, 2012 - Hotel accommodations for approximately 40 individually billed rooms at or below government per diem rate - Continental style breakfast for approximately 40 individuals with maximum cost at or below government per diem rate including all gratuity and service fees. Annotate if this is a complimentary feature offered to all guests. - One meeting room setup for 45 in rounds from 8:00AM - 5:00PM - LCD projector, screen, handheld microphone, wireless internet access - AM and PM light refreshments Saturday June 9, 2012 - Hotel accommodations for approximately 40 individually billed rooms at or below government per diem rate - Continental style breakfast for approximately 40 individuals with maximum cost at or below government per diem rate including all gratuity and service fees. - One meeting room setup for 45 in rounds from 8:00AM - 5:00PM - LCD projector, screen, handheld microphone, wireless internet access - AM and PM light refreshments Sunday June 10, 2012 - Continental style breakfast for approximately 40 individuals with maximum cost at or below government per diem rate including all gratuity and service fees. - One meeting room setup for 45 in rounds from 8:00AM - 12:00PM - LCD projector, screen, handheld microphone, wireless internet access - AM light refreshments - Late checkout extended to 1:00PM If third-party vendors or event planners bid on event, they must have a minimum of one employee present on location for the entire event at no additional expense to the government or hotel. Additionally, they must be willing and able to attend ALL planning meetings as required at no additional expense to the government or host hotel. Vendor must have a Green Initiatives program in place and include this information with their proposal. Third-party vendors must demonstrate Green Initiatives within your own company as well as the location submitted. Vendor must include use of reusable tableware/utensils/napkins whenever practical. Any disposable tableware used should include a minimum 72% bio-based content. This will be part of our evaluation criteria. This event is subject to final approval by Approval Authority per Army Directive 2011-20.
