- Statement of Work v.3 Questions and Answers ENTERPRISE EVENT PLANNING SUPPORT The Virginia Contracting Activity (VaCA) is contemplating awarding a No-Cost contract for conference and event planning services. This contract will be awarded utilizing full and open competition, and the contract vehicle will be used for the planning of a variety of conferences and off-site events. VaCA is soliciting proposals from interested parties capable of fulfilling the requirement for conference and event planning. The successful offeror would be able to plan and manage a variety of events; from local off-site meetings with attendance ranging from 10-100 attendees, to nationwide conferences held in cities all across the country with attendance surpassing 5,000 attendees. Interested parties should submit a proposal of no more than six pages in length providing company background and experience, addressing how they intend to meet the specific requirements as stated in the attached Statement of Work. Interested parties should also include in their proposals possible conference sites for the DODIIS Worldwide Conference for the years 2014, 2015, and 2016 (the 2013 DODIIS Worldwide Conference has been tentatively scheduled to take place in Seattle, WA; the successful offeror may be required to finalize this event as well as plan and execute the 2013 conference). It is highly desirable that interested parties propose cities such as San Diego, CA and San Antonio, TX as possible sites for the future conference dates. Serious consideration will be given only to those potential offerors who include small business participation in their proposal. The due date for proposals is 28 October 2011 at 1200. Any questions concerning the requirement or the attached documents shall be submitted to the point of contact NLT 1200 20 October. 21- October - Attached are the questions received as a result of the release of the SOW on 18 October 2011, and the corresponding answers. Also, the revised SOW is attached. Changes can be found in Section 2.0, Purpose, regarding the requirement to submit documentation to the Government for review upon the conclusion of conferences.
