Description
This sources sought notice is for market research purposes in accordance with the Federal Acquisition Regulation (FAR) Part 10. It does not constitute a solicitation and is not to be considered as a commitment by the Government. This sources sought notice is a Request for Information (RFI) before the release of any resultant solicitation. This is not a request for a proposal and does not guarantee the release of any solicitation. REQUIREMENTS: Health Informatics Training Conference 1.Scope of WorkOffice of Informatics and Analytics (OIA) is sponsoring a training conference on the topic of "Health Informatics". The conference is scheduled to occur August 1-5, 2011. This conference is the second in a series of Health Informatics events. OIA has decided to host each event in a different geographic region to allow for centralized travel for members of different VISN's within the organization. 2.Background/Introduction: The primary focus of this event is to provide OIA staff with an overview of the mission responsibilities and to train staff on the way ahead for Health Informatics initiatives. 3.Period of Performance: August 1-5, 2011 4.Place of Performance: San Diego or La Jolla, CA 5.General Requirements: a.Sleeping rooms: "Total of 110 sleeping rooms (95 VA employees, 15 VA contractors, 30 additional local attendees will join the conference but will not require sleeping rooms) "Check-in schedule: 50 guest rooms with check-in on Monday, August 1st, 2011, an additional 60 guest rooms for a total of 110 guest rooms beginning on Tuesday, August 2nd, 2011, with checkout on Friday, August 5th, 2011. "Lodging rates must be within the Government Per Diem rate or lower for the San Diego/La Jolla area. "VA travelers shall check in individually and shall pay guest room costs by individual Government credit card. Hotel shall provide state and local tax exempt forms for VA travelers to submit as this travel constitutes official business of the Federal Government. b.Conference space "One general session room to accommodate 140 people set in classroom/theatre mix with room for stage/AV in front, without pillars, and 15 ft or greater ceiling. Room shall be large enough to accommodate 120 people, a standing lectern and audio visual equipment (rear screen projection anticipated). General Session room will be needed from 8:00 am to 5:00 pm on Wednesday, August 3rd, 2011 and Thursday, August 4th, 2011, and must remain on 24 hour hold. AV setup all day. High speed Internet connectivity required. "On Tuesday evening, August 2nd, 2011 from 5:00 pm to 7:00 pm, the group will host a training event/speaker. A general session room will be required to accommodate 140 people with room for theatre seating, stage/standing lectern, audio visual equipment (rear screen projection anticipated), and space for networking/socializing. "Breakout rooms: 5 rooms to accommodate 20 people each on Tuesday, August 2nd, 2011 from 8:00 am to 5:00 pm and 9 rooms on Wednesday and Thursday, August 3-4, 2011 from 8:00 am to 5:00 pm on each day. Of the 9 breakout rooms on Wednesday and Thursday, 4 of them should be capable of holding 40 people. The other rooms should accommodate 10-20 people each. Each breakout room shall be set in rounds with ample room for AV equipment, and a standing lectern. c.Food and Beverage: d.Audiovisual services: "Three projectors and three 12 ft x 16 ft screens in General Session room "One projector and one 6 ft x 6 ft screen in each Breakout room "One polycom speakerphone in General Session room "High speed wireless internet connectivity in all conference space SUBMIT THE FOLLOWING REQUIRED INFORMATION TO ANDREA.BLAKELOCK@VA.GOV BY 9:00AM EST 7/13/2011. - 1) Name of your company with DUNS #, identify Business size of your company, (Small Business, Large Business, Disadvantaged Business, Service Disabled Veteran Owned, Veteran Owned, Woman Owned or HUBZone) -2) Identify if offered as open market commercial and or GSA Schedule provider, list Schedule number if applicable. -3) Capabilities/Qualifications - Provide the following information for each functional area in the "REQUIREMENTS" section above. PLEASE LIMIT YOUR DOCUMENT TO 10 TOTAL PAGES -4) Please include contact information, including the name of the point of contact, email address, and telephone number for your company -5)Please provide availability of space, rooms, and all other requested for dates provided. -6)Provide any additional information that you feel would be helpful in our market research for this request. This notice does not restrict the Government to an ultimate acquisition approach. All firms responding to this sources sought notice are advised that their response is not a request that will be considered for contract award. All interested parties will be required to respond to the resultant solicitation separately from their response to this sources sought notice.
