Answer: Please refer to the NARA GRS http://www.archives.gov/records-mgmt/grs/">http://www.archives.gov/records-mgmt/grs/. A specific example would be the disposition of a FOIA request for nonexistent records: GRS 14, 11,a,2. The functions in 5.3.6 & 5.3.12 are very similar. Please describe DOI's expected differences between these two requirements. How would DOI differentiate these tasks? Answer: These are general records schedules capabilities. There are specific bureau records schedules, as well. Disposition may be suspended with proper authority. Judicial and legislative authorities are two examples. We would want to capture the info pertinent to the hold and enough info to uniquely id the hold and cross reference it to the release. What type of files are being referred to in this statement - "Permit easy and timely retrieval of both individual records and files or other groupings of related records" - email attachments, or files related to non-email operations? Answer: The purpose of this RFI is to ascertain technologies that are DoD 5015.2 Chapter 3 certified which can archive emails and attachments within emails. Formats of attachments can be any electronic type document or related. This does not include non-email operations, however, due to integrated technologies such as Instant Messaging (IM) into email based platforms, the Department would consider IM and IM related attachments as other groupings or related records. Other non-email operations are not considered part of this RFI. Is retrieval from NARA a requirement for you? Can you suggest any transaction metrics such as files/month or GB/month at XX retrieval time, etc? Answer: The retrieval from NARA is not a requirement for this solution. The Department does intend to eventually interconnect and cross-pollinate this solution with the National Archives & Records Administration (NARA) through the use of the Electronic Records Archive (ERA) package tool (http://www.archives.gov/records-mgmt/era/packaging-tool.html). The Department intends to utilize this solution for its official email archive records platform.Is the intent to provide immediate management capabilities for all 80,000 - 120,000 electronic email user accounts upon selection of a solution? a. If not, what is the quantity of users required for the initial phase of implementation? Answer: The Department intends to implement this initially by mail server (qty no available as this time), and eventually support all 80,000 to 120,000 users within the Department. A proof of concept consisting of no more than 5,000~ email accounts will be considered. b. Will users be added in planned phases or as needed? Answer: Both. Users will not be based on single-instance but groups of users as defined at a later time.
