Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This is a combined synopsis/solicitation for commercial items purchase prepared in accordance with the format in FAR Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Solicitation W912L2-11-T-0013 is being issued as a Request for Quotation. This solicitation incorporates provisions and clauses for commercial items in effect through Federal Acquisition Circular 2005-42. The associated NAICS codes is 721110, small business size $7.0 Million. COMMERCIAL ITEM DESCRIPTION: The USPFO for Arizona has a requirement for multiple events requiring multiple conference rooms and audio/video equipment for the Yellow Ribbon program. Parking will need to be provided at NO additional cost for up to 120 vehicles. This requirement is composed of 4 separate events identified by their respective line item number. ***VENDORS MUST BID ON ALL 4 LINE ITEMS AS THE USPFO WILL BE AWARDING ONLY ONE CONTRACT TO SATISFY THIS NEED*** Each event has the same following requirements: Statement of Work Operation Copper Cactus / Yellow Ribbon Program Tucson, Arizona The Arizona Army National Guard is in need of a hotel or conference center that can provide meeting space for 120 people in support of the Yellow Ribbon Reintegration Program. Registration: On Wednesday & Thursday from 5:30am until 4:30pm there will need to be 4 six-foot tables with 8 total chairs for registration is required in order to easily accommodate the 120 attendees as they enter the conference area. Cost will be inclusive of ALL Taxes and Service Charges Conference Room 1: On Wednesday & Thursday from 5:30am until 4:30pm the conference center will provide one on-site conference room to accommodate 120 seated in a classroom setting allowing all attendees to see and hear the presentation clearly and take notes. The attendees will be returning to this room throughout the day, therefore this room must remain set in this way from 7:00am to 4:00pm. Also needed for this room is one six foot table in the front of the room, audio/visual (projector, screens and integrated speaker system) that is adequate for size of room, and podium with wireless microphone that will also be provided by the conference center. The sound needs to be heard clearly in the whole room. All audio and visual components must be adaptable to standard laptop outputs. Note pads and pens should be provided at each seat in this room. In the rear of this conference room there needs to be six six-foot clothed tables; with a total of sixteen chairs and electrical outlets enough to supply power to 15 computers. Cost will be inclusive of ALL Taxes and Service Charges. Breakout Rooms: On Wednesday & Thursday from 5:30am until 4:30pm, breakout rooms set in classroom seating to accommodate approximately 60 people. These 4 breakout rooms must be in the same general area as the conference room. The conference center will provide audio/visual (projector, screens and integrated speaker system) that is adequate for size of room, a table in the front of each room, wireless microphone, internet connection, and flip chart easel with pad and markers in each room. Note pads and pens should be provided at each seat in the room. Cost will be inclusive of ALL Taxes and Service Charges. Interview Rooms: On Wednesday & Thursday from 5:30am until 4:30pm, the conference center must be able to provide EITHER 3 small or 2 large partitioned rooms to be used for confidential interviewing. Three small rooms is preferred, but two large rooms no smaller than 300 sq ft can be partitioned to provide a confidential interviewing space. Partitions are required if the conference center decides to provide the two large rooms (rather than the three small rooms) for this line item. The price of this line item should be inclusive of the partitions. There will need to be two chairs and one table per small interview room OR four chairs and two tables if the conference center will be partitioning two large rooms. Cost will be inclusive of ALL Taxes and Service Charges Vendor Support Room: On Wednesday & Thursday from 5:30am until 4:30pm, the conference center will provide 12 clothed tables (preferably 6-foot rectangles) with two chairs per table in a room no smaller than 2,000 sq. ft. This room must be in the general vicinity of the conference and breakout rooms. Cost will be inclusive of ALL Taxes and Service Charges ------------------------------------------------------------------------------------------------------------ Location of the Proposal must be within 25 miles of Valencia Armory, 5500 E. Valencia Rd Tucson, AZ 85706, due to logistical requirements for the AZNG. ------------------------------------------------------------------------------------------------------------ Proposal shall include a detailed description, map or layout of the facility's conference rooms including dimensions and illustrate how they conform to the statement of work.
