Description
1.Are the documents to scan one sided or two sided? a.Some single sided some both 2.If a mix, what percentage is two sided? a.30% - Guess 3.Are the documents stapled or "bound" in any way? If so, what type and what percent? 4.How many colors are the documents? What colors are they? How many are black and white? a.All scanning is in black and white 5.What condition are the documents in? Have they been stored is clean climate controlled areas? What percentage has been exposed to dust, mildew or water environments? a.Some are very old - pre Vietnam - some on onion skin paper - have been boxed, but not humidity controlled 6.We would like to look at a sampling of at least 10 boxes to see condition, prepping, and if or how fields can be captured. How can we arrange this? a.If you are in Helena, we can setup a time to have you come out and see them 7.How many field will need to be indexed? a.3-4 8.How many differed document types are there and do they all need different indexed fields? a.Several - All will be indexed on Last Name, SSN 9.How much is MNG involved with the index decision making and implementation process? Basically we are happy to consult and provide direction, but look at projects as a partnership, is this expectation? a.We would want to be involved in the decision making process 10.How many authorized users will be accessing the information after scanning? a.dozens 11.What resources (admin and IT) are available for set up and collaboration? a.Limited 12.Are all of the documents ready to go 100% or is there future wait times within the 12 month period to identify and prepare records for imaging? a.All are ready to be scanned 13.Will you provide access to training on your in-house software if the alternative application provided is not as ideal as your internal applications? a.Yes 14.Please provide some definition for the criteria of 95% request for turnaround. a.Turnaround Time 95% On Time Upon receipt of a request (document preparation, scanning, retrieval, or delivery), the job will be provided within the agreed upon turnaround time. The measurement for Turnaround Time is calculated by dividing the number of jobs completed on time by the total number of jobs received during each month. i.This is when someone comes in and requests a record (that has been scanned) can you find the record within 2-4 hours 1.Will the contract present the opportunity for option years beyond the original contract period? If so, how many option years? At this point there aren't any option years. 2.Is there an incumbent contractor currently performing the work proposed in the Solicitation? Yes, at this time there is another contractor performing that work. 3.Will the MTNG look less favorably upon a contractor with its headquarters outside of state of Montana? As long as the contractor can fulfill the requremetns in the RFP they will not be looked upon less favorably for being based out of state. 4.Does the MTNG anticipate implementing any technical upgrades to any equipment during the contract period? If so, what will the upgrades be? Will the contractor have any responsibility for the upgrades? There isn't any anticipated upgrades to equipment. 5.Does the MTNG prefer that a contractor provides an employee who is Kofax certified? It is not a selecting criteria, but will definitely be looked at favorably.
