Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This is a combined synopsis and solicitation for the following commercial services: CLIN 0001: 1 each (EA) lease of lodging and conference room facilities; and CLIN 0002: 1 EA team building activity. The requirements are as follows: A) The facility to be located in Park City, Utah shall provide the following services from Wednesday, January 19, 2011 to Saturday, January 22, 2011. These services shall be included with the firm-fixed price offered by the Contractor in Contract Line Item Number (CLIN) 0001: 1. A block of 54 hotel rooms for the evening of Wednesday, January, 19, 2011. NOTE 1: Rooms shall be priced in accordance with the U.S. General Services Administration's (GSA) FY 2011 Per Diem Rates for Utah. NOTE 2: The Contractor shall specify in the offer the length of notification needed by the Government if the number of rooms required by the Government is less than specified. Any rooms not utilized by the Government (with proper notification) shall not be billed to the Government. 2. A block of 110 hotel rooms for the evening of Thursday, January 20, 2011 and Friday, January 21, 2011. NOTE 1: Rooms shall be priced in accordance with GSA's FY 2011 Per Diem Rates for Utah. NOTE 2: The Contractor shall specify in their offer the length of notification needed by the Government if the number of rooms required by the Government is less than specified. Any rooms not utilized by the Government (with proper notification) shall not be billed to the Government. 3. Provide a conference room capable of holding 55 individuals using a classroom table design on Thursday, January, 20, 2011 [conference starts at 8:00 AM and concludes at 8:00 PM]. 4. Provide a conference room capable of holding 115 individuals using a classroom table design on Friday, January 21, 2011 [conference starts at 8:00 AM and concludes at 6:00 PM]. 5. Provide one smaller room in close proximity to the conference room (described in Item #3 above) for holding working group meetings on Thursday, January 20, 2011. 6. Provide two smaller rooms in close proximity to the conference room (described in Item #4 above) for holding working group meetings on Friday, January 21, 2011. 7. Provide a projector and screen in the conference rooms (described in Items #3 and #4 above) for Thursday, January 20, 2011 and Friday, January 21, 2011. 8. Provide an audio visual cart in the conference rooms (described in Items #3 and #4 above) for Thursday, January 20, 2011 and Friday, January 21, 2011. 9. Provide ten (10) flip charts with markers in the conference rooms (described in Items #3 and #4 above) for Thursday, January 20, 2011 and Friday, January 21, 2011. 10. Provide an easel and whiteboard in the conference rooms (described in Items #3 and #4 above) for Thursday, January 20, 2011 and Friday, January 21, 2011. 11. Provide access on Wednesday, January 19, 2011; Thursday, January 20, 2011; and Friday, January 21, 2011 to a copy center in the facility to be used by the Government and printing and copying needs. NOTE: the Contractor shall specify in their offer the terms of use related for the copy center. 12. Provide breakfast and lunch, and necessary accommodations for approximately 54 individuals on Thursday, January 20, 2011. NOTE 1: Meals shall be priced in accordance with GSA's FY 2011 Per Diem Rates for Utah. NOTE 2: The Contractor shall specify in their offer the length of notification needed by the Government if the number of meals required by the Government is less than specified. Any meals not utilized by the Government (with proper notification) shall not be billed to the Government. 13. Provide dinner and necessary accommodations for approximately 110 individuals on Thursday, January 20, 2011. NOTE 1: Meals shall be priced in accordance with GSA's FY 2011 Per Diem Rates for Utah. NOTE 2: The Contractor shall specify in their offer the length of notification needed by the Government if the number of meals required by the Government is less than specified. Any meals not utilized by the Government (with proper notification) shall not be billed to the Government. 14. Provide breakfast, lunch, and dinner and necessary accommodations for approximately 110 individuals on Friday, January 21, 2011. NOTE 1: Meals shall be priced in accordance with GSA's FY 2011 Per Diem Rates for Utah. NOTE 2: The Contractor shall specify in their offer the length of notification needed by the Government if the number of meals required by the Government is less than specified. Any meals not utilized by the Government (with proper notification) shall not be billed to the Government. 15. Provide breakfast and necessary accommodations for approximately 110 individuals on Saturday, January 22, 2011. NOTE 1: Meals shall be priced in accordance with GSA's FY 2011 Per Diem Rates for Utah. NOTE 2: The Contractor shall specify in their offer the length of notification needed by the Government if the number of meals required by the Government is less than specified. Any meals not utilized by the Government (with proper notification) shall not be billed to the Government. B) The facility shall provide the following service on January 21, 2011. The firm-fixed price for this service offered by the Contractor shall be included in CLIN 0002: 1. Provide a team-building exercise (e.g. Park City Teamworks; Venture Up, Inc.) on the afternoon of Friday, January 2011 for approximately 110 individuals. NOTE: The Contractor shall provide a list of potential activities with their offer. C) In addition to the services to be priced by the Contractor, the Contractor shall provide the following services from Wednesday, January 19, 2011 to Saturday, January 22, 2011. These services will be paid by the individuals or registration fees obtained by Dugway Proving Ground, not through the contract: 1. Morning and afternoon coffee break (e.g., coffee, tea, juice) service for Thursday, January 20, 2011 and Friday, January 2011. 2. Ice breaker reception starting at 6:00 PM on the evening of Wednesday, January 19, 2011. The ice breaker will be a pay-as-you-go bar, to also include light refreshments and finger foods. NOTE: The Contractor shall provide a menu of possible finger foods with their offer. 3. Recreation activity with families included for Saturday, January 22, 2011. This does not have to be an arranged event (e.g. discounted tickets for skiing, sleigh rides, etc.). NOTE: The Contractor shall provide a list of potential activities and associated costs with their offer. This solicitation is issued as a request for quote (RFQ). Submit written offers (oral offers will not be accepted), on RFQ W911S6-11-T-0007. This solicitation is set-aside for Small Business concerns. All firms or individuals responding must be registered with the Central Contractor Registration (CCR). North American Industrial Classification Standard 531120 (size standard is $7,000,000) applies to this procurement.
