Description
The U.S. Probation Office, District of Utah is requesting a quotation on equipment, supplies and/or services. The specifications are listed below. Quotes may be faxed or e-mailed to the below listed by Friday, November 5, 2010, at 1:00 p.m., Mountain Time. Please submit a quotation including the following: Training Event Date: January 25-26, 2011 Guestrooms in the downtown Salt Lake City, Utah, area for January 24-26, 2011 o Up to 310 hotel rooms for a maximum three nights at the government per diem rate. o Third night stay will be a reduced number of rooms needed based on participant travel One ballroom to accommodate 310 people for two days, set in rounds. 11 break out rooms to accommodate up to 30 people per room for two days, set classroom style. We reserve the right to reduce the number and/or cancel the break out rooms if needed. Common area for conference check-in/registration table and training breaks. A dedicated staff member from the hotel to address immediate needs as they arise. A master billing account for guest rooms costs that excludes all incidental costs charged to the guest rooms. Transportation to and from the Salt Lake International Airport for those participants registered to stay at the hotel. IT/AV needs: Two Lavalier microphones for the ballroom for two days Two wireless microphones for the ballroom for two days Projector, screen and speaker system for the ballroom and the eleven break out rooms Rooms for the two days (note the ball room will require two projectors and screens per day, unless all participants can view one screen throughout the entire ballroom). *we reserve the right to bring in our own projectors and screens and or a portion of those needed. begins (and if possible the breakout rooms) for testing of presentation equipment. Local hotels only Morning refreshments, mid-morning refresher and afternoon refreshment for 310 people for two days. The ability to set up the ballroom in the later afternoon of the day before the conference Please note that we are tax exempt. A copy of our tax exemption information will be provided upon award.
