Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Yellow Ribbon Reintegration (Orlando, FL) 4-6 June 2010 $ $ Requirement Each/Package Total Costs Sleeping Rooms $_________ $_________ 10 - Sleeping rooms @ government per diem for 4 nights= 40 rooms (3-7 JUN 10) 15 - Sleeping rooms @ government per diem for 2 nights= 30 rooms (4-6 JUN 10) 500 - Sleeping rooms @ government per diem for 2 nights= 1000 rooms (4-6 JUN 10) ** Late check out; 1300 Total: 1070 Sleeping Rooms Meeting Rooms 1 - General Session room for 1000 persons for 2 days quarter- round table (5 - 6 JUN 10) w/Podium; set in theater style, Elevated stage approximately 12ft long x 8ft wide along the front wall with two (2) projectors and two screens approximately 10 x10. Note 3 7 - Breakout Appointment /training rooms for 50 persons each w/ rounds for 2 days (5-6 JUN 10) Note 3, 5 6 Childcare rooms for 400 children with 8 small round tables and chairs in each room. The provider must have at least one (1) certified trainer; provide for secure sign-in and sign-out of child; provide games and activities for age appropriate children. TRANSPORTATION$_________ $_________ Transportation for 300 personnel from: Airport to hotel (04 JUN 10) - 10- hour window starting at approximately 10:00am to 12:00pm Hotel to airport (06 JUN 10) - 4 -hour window starting at approximately 10:00am to 12:00pm Parking$_________ $_________ Self parking for 400 personnel and staff: 04-06 JUN 10 Notes: 1.Operations Center is required from Thursday, 3 Jun 10, 1:00 pm through Monday, 7 June 10/09:00am. The location must be on the same floor adjacent to the General Sessions Classrooms with an external phone line.. 2.Registration/Information Area required from Friday, 04 Jun10, 10:00 am through Sunday, 6 Jun 10, 2:00pm 3.General Session, Breakouts, and Private meeting rooms and Booths are required from Saturday, 5 Jun 10, 6:30 am through Sunday, 6 Jun 10, 4:00pm. Hotel will provide pens and pads for each student in each room. 4.Booths setup required from Saturday, 5 Jun 10, 6:30 am through Sunday, 6 Jun 10, 4:00 pm. 5.Breakout Activity Room with 42in or larger TV/Monitor from 05 Jun 10, 7:30am through 6 Jun 10, 4:00pm. 6.Child care on Saturday, 5 June 2010 from 7:00 AM 5:00 PM and Sunday, 6 June 2010 from 7:00 AM 2:00 PM. Ages: (0-5 150), (6-12 150), (13-17 100) 7.Rooms dedicated to training events will be supplied with water, coffee, tea and snacks (example: cookies, fruit, muffins) available for the attendee outside of the classes on Saturday, 5 June 10 from 8:00 AM 10:30 AM and 1:30 PM 4:00 PM and 6 June 10 from 8:00am 10:30 am, to include snacks for the children. 8.Breakfast buffet (Sat & Sun) with intermittent refills of the following food items: assorted soft drinks, coffee, juice, tea, milk, water, soy milk, assorted cut & whole fruit, pancakes, waffles, eggs Benedict, yogurt, granola, sausage, bacon, hash brown potatoes, condiments, muffins, bagels. Lunch buffet(Sat ) with intermittent refills of the following items: Salad bar, hot buffet to include an assortment of food, meat dish (sandwich), vegetables, corn, (vegetarian style food), potatoes, breads, assorted soft drinks(regular & diet) milk, cold tea, assorted whole fruits and desserts. In addition, kid friendly meals (400) must be provided such as chicken fingers, applesauce, macaroni and cheese, hamburger, French fries etc. Dinner buffet (Sat) with intermittent refills of the following items: Salad bar, hot buffet to include an assortment of meat, fish, chicken, pasta, vegetables, potatoes, bread, assortment of soft drinks(regular & diet), water, cold tea, hot coffee, regular & soy milk and desserts.
