Description
RFQ-42-10-013 This is a combined synopsis/solicitation for commercial services, prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 2005-32. This request for quote is not set aside for small business. The North American Industry Classification System (NAICS) code is 721110. The U.S. Nuclear Regulatory Commission (NRC) requires meeting/conference space in support of the NRC's public workshop on vendor oversight for new reactor construction to be held Thursday, June 17, 2010 from 7:00 a.m. until 5:30 p.m. for approximately 600 people. The conference center shall be within 0.3 mile walking distance from the intersections of Chartres Street and Canal Street in New Orleans, Louisiana. The hotel must have the following amenities; suitable conference rooms with good visibility; business center capabilities; internet access; and catering capabilities. The NRC requires the establishment to have a minimum of a Three Diamond Star rating provided by AAA or other rating organizations. One (1) large meeting room is needed to accommodate 600 individuals on June 17, 2010, from 7:00 a.m. until 5:30 p.m. The workshop will be conducted in a theatre style setup, with one (1) stage (24'x8'x24') with stairs at each end. The Main Conference Room will need the following: -One (1) six foot table use for laptop presentation, located near electrical connections; -One (1) dais table with linens capable of accommodating six (6) chairs; -Six (6) chairs for dais table; -Two (2) flag Poles; -Two (2) flag Stands. The space located directly out front of the Main Conference Room used for the purpose of Registration will require: -Two (2) eight (8) foot registration tables, located near electrical connections; -Twelve (12) chairs for registration tables; six (6) chairs for each table; -One (1) stand capable of holding a printer, located near electrical connections. The following audio-visual equipment will be made available for the workshop: -Two (2) Projection Screens; -Two (2) LCD Projectors; -Two (2) Wireless Microphones; -Two (2) Stationary floor microphones; -One (1) LCD Support Package (cabling, power cords, etc.); -One (1) VGA Distribution Amp; -One (1) Podium and one (1) microphone; -Three (3) Table microphones for dais table; -One (1) Telephone, capable of conferencing; -One (1) Phone Line Installation; -Twelve (12) Channel Mixer for Sound System; -One (1) Printer. The following food requirements shall be met: Thursday, 06/17/2009 (Full Day); AM refreshments from 7:00-9:30 am (for approximately 600 individuals), PM refreshments from 2:30-3:30 pm (for approximately 600 individuals). AM break refreshments, including items such as coffee, tea, assorted juices, bottled water and soft drinks, breakfast breads and pastries, and yogurt and fruits shall be part of the rental agreement for the meeting space. The offeror shall provide a description of what each break includes. We are requesting that guest rooms be made available to NRC staff at the government rate as follows: Tuesday, 06/15/2010, single occupancy, approximately 20 rooms; Wednesday, 06/16/2010, single occupancy, approximately 20 rooms; Thursday, 06/17/2010, single occupancy, approximately 20 rooms. We are also requesting that guest rooms be made available to conference attendees at a discounted rate as follows: Wednesday, 06/16/2010, single occupancy, approximately 200 rooms; Thursday, 06/17/2010, single occupancy, approximately 200 rooms. The NRC is tax exempt federal agency. The copy of the Tax Exempt Certificate will be provided upon award.
