- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Annual Western Region IG Conference 1-5 August 2010 The specific requirements for the conference are: - Hotel rooms at or below per diem rate Sunday, 1 August, 10 rooms Monday-Thursday, 2-5 August, 100 rooms each night - Meeting space setup in classroom style with audio/visual support as outlined - Morning/afternoon refreshments during conference breaks - Sunday, 1 August * Meeting space for 10 personnel (1000-1500) Screen, AV table, and power strip - Monday, 2 August * Registration area for conference check-in (1300-1800) 8 tables (2) and power access * Meeting space for 10 personnel (0800-1700) Screen, AV table, podium, and power strip *Bar/lounge area capable of holding 100 attendees (1700-2000) for a no-host informal gathering - Tuesday, 3 August * Registration area for conference check-in (0700-0830) 8 tables (2) and power access * Meeting space for 100 personnel (0800-1700) Screen, AV table, podium, microphone, and power strip * 2 meeting spaces for 30 personnel each (0800-1700) Screen, AV table, and power strip - Wednesday, 4 August * Meeting space for 100 personnel (0800-1700) * Screen, AV table, podium, microphone, and power strip * 2 meeting spaces for 30 personnel each (0800-1700) Screen, AV table, and power strip - Thursday, 5 August * Meeting space for 100 personnel (0800-1700) Screen, AV table, podium, microphone, and power strip * 2 meeting spaces for 30 personnel each (0800-1700) Screen, AV table, and power strip Space must be within walking distance of the 16th Street Mall. Funding for this event will be through a conference fee to be charged to each individual and must cover all associated costs. We cannot guarantee an exact number of room nights. Have an electronic means for registration as well as a reservation cut-off date. Liabilities for damages to rooms and late cancellations will be the responsibility of the individual attending. Include any attendee discount programs available to conference attendees or additional add-ons as provided by typical conference agreements. Include a list of on-site and walking distance restaurants, indicating which serve breakfast. Include a list of green initiatives and/or programs the venue participates in as this is a factor in best value consideration.
