Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation: proposals are being requested and a written solicitation will not be issued. The solicitation for this acquisition is NIH-NLM- 2009034, and is being issued as a Request for Quotation. The associated NAICS code is 721110 with a business size standard of 6.5M. The solicitation document and incorporated provision and clauses are those in effect through Federal Acquisition Circular (FAC-2005-36). This acquisition will be processed under Simplified Acquisition Procedures (SAP) and is not a small business set-aside. The National Library of Medicine (NLM), NIDDK Acquisitions Office, has a requirement to procure a facility for a retreat that will be held on March 24, 2010 through March 26, 2010. The facility shall have a meeting room available on all three days (full day for day one and two, 9:00 a.m. - 6:00 p.m. and half day for day three, 8:00 a.m. - 12:00 p.m.) to accommodate approximately 150-200 people and shall provide an area to display posters (pricing to be based on 50 posters for two days). For sleeping accommodations, a total of 85 rooms will be needed (20 single occupancy rooms and 65 double occupancy rooms) for both nights, (March 24, 2010 and March 25, 2010) and the following meals shall be included: March 24, 2010 for approximately 150 people: buffet lunch, pm break, plated dinner, continuous beverage service in the meeting room (includes coffee/tea/water/soft drinks. March 25, 2010 for approximately 150 people: buffet breakfast, buffet lunch, plated dinner, continuous beverage service in the meeting room (coffee/tea/water/soft drinks). March 26, 2010 for approximately 150 people: buffet breakfast, continuous beverage service in the meeting room (coffee/tea/water/soft drinks), box lunch. Miscellaneous items to be supplied are all standard AV equipment, including LCD projector, podium with sound system, projector screen, lapel microphone, laser pointer, small table for LCD projector, chairs and tables. The facility shall be approximately 75-120 miles from the main NIH campus which is located in Bethesda, MD and must be accredited by the International Association of Conference Centers (IACC) to ensure a required level of quality of the meeting space, lodging rooms, meals, etc. The facility shall have adequate parking available for approximately 200 guests on the premises. In addition, the facility must be responsible for complying with the public accommodations requirement of the Americans with Disabilities Act (ADA). All responsible sources may submit an offer that will be considered by the agency. Offers must be submitted no later than 12:00 p.m. Daylight Standard Time on Wednesday, September 23, 2009. Fax and e-mail submissions shall be accepted. Faxed quotations must contain offerors names, address, telephone number and fax number. In addition, faxed quotations will only be accepted if dated and signed by an authorized company representative. Offerors shall include a completed copy of the provision at FAR Clause No. 52.212-3, Offeror Representations and Certifications Commercial Items, with its quote.
