Q5160090040 - CARL Telephone SystemQuestions and Answers 1. How many telephone lines are needed in the phone system? ANSWER: A minimum of nine lines, with a PRI. 2. What type telephone lines are needed in the phone system? ANSWER: Cat3 is currently servicing all phones at Headquarters, Preservation Center and Maintenance. The scope indicates IP phones, with cat 5or 6 should be installed at barn, house and tenant house. 3. Can we just bid on the telephone system or do we have to bid on the cabling between buildings as well? ANSWER: A bid without the cabling system between the buildings will not be accepted. 4. Do you need any IP phones at all? ANSWER: IP phones should be considered with the fiber to the outlying buildings. It would be acceptable that the existing digital wiring be reused at the barn, house and tenant house, with one new digital cable installed at tenant house. Or IP phones could be installed at the outlying fiber connected buildings. 5. Will there be phone cable between buildings for regular digital phones? ANSWER: If existing cat3 wiring is reused at headquarters, preservation center and maintenance then the new phones at preservation center and maintenance will be cat3 wiring. 6. Can we install during normal business hours? ANSWER: Installation can only occur during business hours, Mon-Fri 7:30am - 4:00 pm. 7. Do you need extended warranty pricing? ANSWER: The scope only requests a 1 year warranty, however it should be noted whether a service agreement would be possible for out years. 8. Do you need lightning and surge protection? ANSWER: Yes, the system should include components that consider current electric and communication safety codes. 9. How much end user training do you need? ANSWER: The scope requires end user training within two days of cutover. This could probably be arranged for one day with at least the primary users. 10. The specs call for twenty 22/24 button Digital sets. We can certainly supply that. We do have a question though regarding if you would not want to look at a pure IP solution since you are using fiber between the buildings. Digital must be converted at each location back to fiber to go over the network for most phone systems. Must the stations be digital? ANSWER: No, an all IP option would be considered. The scope refers to IP phones at the outlying buildings because of the fiber connection. 11. 30 minutes backup is listed. Is this only where the system is located or is it also at each location where a phone set resides? You may mean the 30 minutes is where the main system is. ANSWER: Yes, the UPS, 30 minute backup is where the main phone system resides. 12. Beige color? What is meant here. Beige is understood of course as a color but are you set on that color only? ANSWER: Beige is the strongly preferred color. If a system is only available in black it could be considered. 13. Norstar or NEC are mentioned. Are you looking if possible to buy one of these or are you ok with another system that meets what your requirements are? ANSWER: We will accept any system that meets all our requirements, eg: Toshiba, and others. 14. Handwritten labels are understood are not acceptable neither are they to our company. Are typewritten labels acceptable or are you looking for entirely shown extensions etc on the display of the phone set? ANSWER: Yes, the phones should have a display area. The labels on the key area of the phone should reflect the location a pre-programmed button is calling, eg: main house, maintenance, resource manager. Type-written will be accepted, though computer generated is preferred. 15. You show a key system as the only one acceptable. We can certainly do that. Does this mean other systems would not be considered such as a pure IP system? ANSWER: A pure IP system will be considered, IF no new jacks have to be installed at the headquarters location. All offices currently have cat 3 phone jacks. If those existing jacks can be used with new cat5/6 cable then IP will be considered. 16. In reference to 2.1 section B which states: B. Bid should include an option for installation and monthly cost of a PRI circuit with multiple channels. What is currently there now A PRI,T1, Cooper lines and is this mandatory to be considered as a successful vendor? ANSWER: The current system is on a copper line, centrex system. The PRI option should be included. 17. In reference to 2.1 section c which states: C. Provide 3,100 feet of 24 fiber direct bury single mode fiber optic cabling in a trench to be dug in the existing road and pathways between park buildings. Fiber to be buried 18" below road surface. Is the road and pathways paved, and if so are we responsible to repave said roads? ANSWER: The roads are gravel. The road should be returned to the condition it was in prior to excavation as possible, but no paved or hard surface will be trenched. 18. I will be quoting a Nortel BCM50 and the telephones are T7316 16-button telephones, is this going to be ok? ANSWER: If these phones meet the requirements indicated in the scope they are acceptable. 19. Can the bid be separated into two components which would be the phone system as one quote and the cabling into another quote. Can two or more different companies work together to produce an end result? ANSWER: A separate bid can be submitted, however the scope requires that both components be accomplished as part of the contract. The selected contractor will be responsible to ensure all work components are completed. 20. In the General Requirements, capacity for 26 22/24 Button Digital Telephones is stated. In the floor plan sheet for each location, IP phones are mentioned for the Main House and Tenant House. With the specified network topology, IP phones are a better solution. Do you want 26 IP phones (+ 4 spares) with the same features as digital phones? ANSWER: The phones should have the capability of either digital or IP function. The phones at the Main house, Tenant House and Barn should be IP, the phones at Headquarters, Maintenance and Preservation can be either digital or IP. 21. In the General Requirements, providing and installing a 12-port switch is stated. Switch ports are required in every building for IP phones and/or other IP endpoints. Are appropriate switch ports already available in each building, or should additional switches be provided? How many ports should be provided for every building? Plan for future growth or other switch port requirements. ANSWER: No switch ports are available in the outlying buildings (Tenant, Barn, Main House). All equipment necessary to provide a fully functional system with IP phones should be provided. 22. In what building and room will the PRI circuit be terminated and the telephone system installed? ANSWER: The PRI circuit will terminate in the utility room at Headquarters. 23. How many active channels are required on the PRI circuit? How many Direct Inward Dialing numbers are required? ANSWER: A minimum of nine channels for the PRI circuit. At least fifteen DID numbers are required. 24. In the General Requirements, it states that fiber optic cable will be installed. Verify that the telephone system vendor is to dig trench. ANSWER: Yes, the contractor is to dig a trench. 25. A Barn is mentioned in the General Requirements and is on the site plan drawing, but there is no floor plan sheet. Please verify that there are no phones required. ANSWER: There will be a phone installed at the barn. The floor plan sheet is attached. 26. Please verify that the Tenant House in the text is the Farm Manager's House on the site plan drawing. ANSWER: The Tenant House is not the Farm Manager's House. It is a separate building. 27. Music or Message on Hold is stated in the General Requirements. Verify that the telephone system interface and the MOH unit are required. ANSWER: Yes, the interface for music or message on hold are required.
