Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation. Solicitation Number W911RZ-09-T-0333. Fort Carson intends to award a Firm-Fixed-Price Contract for conference services at a mountain ski resort location in Summit County or Vail, CO. The North American Industrial Classification System (NAICS) code for this procurement is 721110. This solicitation will end on 20 August 2009, 10:00 a.m. Mountain Time. The Contractor shall propose the following Contract Line Item Numbers (CLINS): Total lodging costs shall be all inclusive of any resort fees, parking charges, etc. The numbers of adults and children identified below are for estimating purposes only and are maximum numbers. The contractor shall only bill for the final number of attendees that will be reported no later than 24 August 2009. 0001 Total Lodging _________ 0002 Total Food and Beverage Charges _________ 0003 Total Childcare Charges __________ CLIN 0004 Total Conference Room and Audio Visual___________ Total: __________ STATEMENT OF WORK 1. SCOPE OF WORK. The period of performance for this retreat is 4-6 September 2009. The maximum number of attendees is 60 adults and 75 children. The contractor is responsible for providing all necessary materials to assist in the performance of the conference to include room set-up, room tear down, and audio visual hook ups. Services to be provided shall include: a. An off-site location that is located within Summit County or Vail, CO. Location shall be able to accommodate all requirements in the Statement of Work on site. b. 30 lodging rooms with private bathroom and television set. The room shall have double sized beds or larger for the adults and beds for the children. c. A conference meeting room large enough to accommodate 60 people set up theater style with 8-10 top round tables for couples to sit at during the training sessions. Training sessions will be conducted on Friday, 4 September, 1900-2030 hrs, Saturday, 5 September, at 0830-1130 hrs, Sunday, 6 September, at 0830-1030 hrs. d. Audio / visual equipment package to include a Proxima projector and projection screen that is large enough for everyone in the room to view comfortably. The projection system shall be able to adapt to a computer for projecting information to be viewed by all attendees. The audio system shall have the capability of projecting sound from computer files. There shall be one microphone at the podium, one wireless remote microphone, and one lapel microphone for the speakers. e. A podium in conference room for speakers. f. Two extra tables in conference room for training materials and projection equipment. g. Water, coffee, and beverage service during the training sessions. h. A breakfast buffet meal that is served to all participants one hour prior to the first session on Saturday and Sunday. Buffet shall include at a minimum: eggs, bacon or sausage or ham, pancakes or waffles, juice, water and coffee. i. A light lunch served immediately after the final training session on Saturday and Sunday. Buffet lunch shall include at a minimum: soup, salad, sandwiches, soda, water and iced tea. j. A buffet style dinner meal served in the evening hours on Friday and Saturday nights. Buffet shall include at a minimum: choice of two entrees, choice of two sides, salad, bread item, soda, iced tea and water. k. On-site child-care service. There shall be one conference room located in close proximity to the meeting room for child care services. Childcare shall be provided by certified child care providers. Childcare times shall take place during meeting times. The contractor shall provide games and activities for the children as well as a television and DVD player with movies for the children. The movies shall be pre-approved by the Chaplain before they are shown to the children. The Government intends to evaluate offers and make award without discussions; however, this does not preclude the Government from having discussions if it is in the best interest of the Government to do so. To be eligible for an award, contractor must be registered in the Central Contractor Registration (CCR) database. A contractor can contact the CCR by calling 1-888-227-2423 or e-mail at http://www.ccr.gov. NO EXCEPTIONS. A DUNS (Dun and Bradstreet) number is required in order to register.
