Description
This is a combined synopsis/solicitation for a commercial item prepared in accordance with the format in FAR Subpart 12.6 as supplemented with additional information included in this notice. NGA intends to issue a Firm Fixed Price type contract for Hotel Accommodations, Conference Space and Hotel Services located in the Metropolitan area: DC, MD, and VA. The NATIONAL GEOSPATIAL-INTELLIGENCE AGENCY (NGA) is soliciting for a location to hold an off-site beginning 14 September 2009 and ending 17 September 2009, using the ordering procedures of FAR Part 12 and Part 13. These dates are definite. Only establishments that can honor these dates will be considered. The solicitation document and incorporated provisions and clauses are those in effect through the Federal Acquisition Circular FAC 2005-32. This announcement constitutes the only solicitation. Firm-fixed-price proposals for the following items are being requested and a subsequent written solicitation will not be issued. The North American Industry Classification System Code is 721110 and the size standard is $7.0 million, respectively. This announcement is solicited unrestricted and will not be set aside for small businesses. Event - NGA Employee Council Fall Offsite Project Requirements: • Location must have an all inclusive meeting package to include, but not limited to the following: o Venue must be located within 2.5 hours driving time of one or more of the DC area airports (BWI, Dulles, Reagan National) o Venue should be "secluded" to support team-bonding o Venue should include per diem rates for overnight lodging accommodations o Free or reduced parking rate for conference attendees • Availability for 2.5 meeting days (3 sleeping room nights) during the week beginning 14 September 2009 with participants arriving the night before Day 1 of the conference and departing on Day 3 (the half day) • General session/ballroom needed for 2.5 days to accommodate 35 participants in round table or crescent round seating o Two flip charts and markers o Projection screen o In-room or adjacent-room snacks and drink service • One Break out room to accommodate up to 10 people for a meeting at 1300 on the first day o Equipped with two flip charts and markers • Additional needs include the following: o Common areas available for members to gather together informally after business hours o Activities unique to individual venues that promote team building o Exercise facility and/or jogging/running trails • Reserved block of rooms for overnight accommodations (single) for up to 35 (room charges will be paid by individual guests) o Block of rooms will be released if not filled by an agreed upon date o One to three participants may need the option to stay additional nights depending on the distance of travel • ADA compliant facility including: o Accessible guest rooms o Accessible meeting space o Guest rooms equipped for deaf/hard of hearing guest o Accessible presentation area (ramp to raised stage, e.g.) in the general session space • Food service to include: o 14 September 2009: bag lunch for up to 10 for the break out room session o 14 September 2009: afternoon break and dinner for 35 participants o 15-16 September 2009: breakfast, morning break, lunch, afternoon break and dinner for 35 participants o 17 September 2009: breakfast for 35 participants *Breakfast will include both light and hearty foods as well as coffee, hot tea, juices and water *Morning break will include coffee, tea, water and breakfast breads *Lunch will include standard lunch items including a variety of sodas, tea, juice and dessert *Afternoon break will include coffee, hot tea, cookies and various snacks *Dinner will include salad, soup, bread, entrée, dessert, tea, soda, and water This facility is being purchased for meeting space and food. It does not include the use of an instructor or facilitator. Overnight accommodations are the responsibility of individual participants on travel.
