Description
The Social Security Administration (SSA) has a requirement for Audio Visual Equipment for a Regional Management Forum Conference to be held either in downtown San Francisco, California, Greater Phoenix, Arizona area or the Greater Los Angeles area. The conference will be for three consecutive days beginning the week of July 6, 2009 thru July 10, 2009 for two full days and one half day. AV equipment is needed for the main ballroom, 11 breakout rooms and an exhibit space area. Plenary sessions will be held in the main ballroom for the three days and set-up for the room will be ballroom banquet seating for approximately 690 participants. The set-up for the plenary session will occur one day prior to the start of the conference with rehearsals being the morning of the first day. The opening plenary session will begin at 1:00 pm on the first day and 7:00 am for each day thereafter. Communication systems are required for six SSA employees with a Headset for one SSA person to talk to the AV person. A fully functional rehearsal is required which will include AV support for the opening performance. Videotaping will need to be done for the plenary session and for lunch speakers. The audio visual equipment for the plenary session in the main ballroom shall include but not limited to: risers, draping, projection screens, lighting, mobile camera, sound system, DVD, CD equipment and microphones. There will be seven breakout rooms and each room must include but not limited to: a podium, wireless lavalier and handheld microphone, LCD projector, screens, flip charts and easels with markers. There will be four break-out rooms that will require a podium, LCD projector, screen, flip chart easels with markers. We will also need 5 DVD players to be shared in the break-out rooms. The evening reception will require a sound system with microphone and CD player. Prospective contractors must be registered in the Central Contractor Registration database prior to award of the contract. Information regarding this registration can be found at http://www.ccr.gov/.Offerors will be required to complete either a paper copy of the Representations and Certifications or may complete them online at http://orca.bpn.gov. This acquisition is being conducted under the Federal Acquisition Regulation (FAR) Part 12 regarding the Acquisition of Commercial Items. This acquisition is not a set-aside contract. The North American Industry Classification System (NAICS) is 721110. The solicitation number is SSA-RFQ-R9-09-AVMGMT. This solicitation will be available for downloading on or about April 2009. No hard copies of the solicitation will be mailed.
