- The following are responses provided to questions that have been received pertaining to this solicitation. 1.Under the Sample Task it says “Below is a sample of estimated costs for the ACME meeting.” Yet there are no costs listed. In the Scope of Work it states that NIST will provided the projected costs for each task order. Please provide the projected costs for the sample task. A. The following are sample costs used for the purpose of this solicitation : Abstract Books $1,500 Loose leaf binders $ 640 Printing & Duplicating $1,200 NIST Conference Programs Fee (per person) $45 per person NIST Admin Fee (per person) $ 5 per person 2)Under the Scope of Work it states that “the contractor will be required to assess, electronically collect, and account for registration fees from the conference attendees and exhibitors, and submit conference revenue to NIST, as appropriate.” In previous discussions w/NIST Conferences it was indicated that the contractor would not be providing NIST with revenue (i.e writing a check payable to NIST), rather the contractor would be paying the bills at the hotel, for example. Can you confirm this? A. It is not clear what is meant by “in previous discussions w/NIST Conferences” but please note that the Contractor will be billed by NIST for Conference Program labor provided by NIST staff and other expenses incurred. 3)It is also mentioned that the fees the contractor collects would have to “cover NIST’s expenses associated with the conference, the contractor’s expenses associated with the conference and the contractor’s profit.” Can you confirm that “NIST’s expenses are the same as the direct costs (i.e. catering, AV, etc.) A. Labor will also be charged as well as other direct costs such as but not limited to, printing, transportation, etc.) 4)I noticed that mention of posters and printing was removed from the solicitation. Am I to assume that NIST will handle these tasks? A. Printing will be provided by NIST to the Contractor and the contractor will be billed by NIST. 5) Solicitation Number NB107000-8-00107 seems to indicate that all contractor expenses for conferences are only reimbursed through conference registration fees and that no funds are provided by NIST. A. This is correct, “no funds will be provided by NIST. 6) Is the contractor responsible for providing necessary conference expenses for hotels, audio visual, etc. prior to obtaining registration fees? A. Yes, a deposit may be required as well as other expenses and the contractor is required to provide them. 7) Does NIST provide any funds for conference expenses other than what is collected from registration? A. A sponsor of the conference may offset the registration fees with contributions which will not come from NIST. 8) Is it the contractor’s responsibility to obtain enough conference attendees to cover expenses and contractor profit or are there set lists of expected attendees? A. NIST provides mailing lists for meetings. The contractor may be asked for marketing assistance.
