Description
COMBINED SYNOPSIS/SOLICITATION (i) This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR 12.603, as supplemented with additional information included in this notice. This announcement const itutes the only solicitation; quotes are being requested and a written solicitation will not be issued. (ii) This Solicitation document W91247-08-T-0042 is issued as a Request for quote (RFQ) in accordance with the Governments requirement. ( iii) This Solicitation document incorporates provisions and clauses that are in effect through Federal Acquisition Circular 2005-18, effective June 30, 2007. (iv) This requirement is unrestricted and only qualified offerors may submit bids. This sol icitation is issued under FAR PART 13-Simplified Acquisition Procedures. This requirement is to provide modern, clean and carpeted lodging rooms, meals and conferencing capable of accommodating 500 participants in Myrtle Beach, South Carolina. The North A merican Industry Classification System (NAICS) code is 721110, size standard is $6.5 million. Award of this requirement will be in accordance with Federal Acquisition Regulation FAR Part 13, Simplified Acquisition Procedures. Interested persons may identif y their interest and capabilities to respond to the requirements. (v) A detailed Performance Work Statement is provided below. For further information please email uche.washington@ us.army.mil. 1. Performance Work Statement Scope Of Work Strong Bonds Married Couples Reunion Retreat 16-18 MAY, Myrtle Beach, SC. 1. Lodging: Two-Hundred Fifty (250) each modern, clean, carpeted deluxe resort OCEANVIEW or OCEANFRONT rooms with minimum of one (1) queen or king bed for overnight stay on 16 and 17 May, 2008 at Myrtle Beach or North Myrtle Beach, SC. There will be a total of 500 participants. Check-in time is requested between 3 PM and 11 PM on 16 MAY 2008. Late check out of 1 PM is requested for 18 MAY 2008. All rooms to be in s ame building / main complex. 15 Comp Rooms / Suites are being requested for Staff on 15 MAY 2008 with normal Check-in time. 2. Food: 3 Buffets and 1 Plated Dinner a. " Friday Dinner Buffet, 16 MAY, 1 DEC, 5:00  7:15 PM - FRI Dinner Buffet: Seafood Buffet: Seasonal Garden Greens with Assorted Dressings, Fried Shrimp, Fried Clams, Fried Fish, Mikes Famous Mango ketchup Salmon, Grilled Chicken, French Fries, Hushpuppies, Assorted Breads, Selection of Starches and Vegetables, Dessert Buffet. Coffee, Tea, Juices for Children, and Assorted Soft Drinks. Or comparable as previously agreed upon. " Saturday Plated Couples Romance Dinner 17 MAY, 7 PM  8:30 PM Plated  Salad: Romaine and Red Lead Lettuce with Teardrop Tomatoes, Julienne Pepper Strips and Cucumber Carrot Confetti with balsamic Vinaigrette. Entr?e : Duo of 4 oz Flet Mignon and 4 oz Chicken Breast served with Bearnaise, Chefs Selection of Fresh vegetable and Starch, Freshly Baked Rolls, Turtle Cheesecake, Regular and Decaffeinated Coffee and Iced Tea Or comparable as previously agreed upon. b. Drinks and Refreshments for up to 500 adults 17 MAY 10:30 AM outside of Main Meeting Space consist of Chef s Display of Freshly Sliced Melons, Muffins, Cinnamon Rolls with jellies and preserves, Freshly Brewed Coffee, Assorted Fruit Juices and Water. Or comparable as previously agreed upon. 3. Meeting Space: Modern, clean, carpeted Conferencing Space / Meeting Rooms as listed below: One (1) Meeting space for Mass Registration / Delivery of Keys to those checking in from 16 MAY 2 PM  7 PM. Total of 10 six-foot tables (dressed) needed in room close to / vicinity of Main Check In or conduc ted in Main Lobby if enough space One (1) Meeting space for 500 People for General Sessions with with 13, 6-foot tables (dressed) along back wall (8 for outside registration tables in hallway, and 5 for inside General Session Meeting Room.) This sp ace required 16 MAY 2007 from 9 AM until 11 PM, 17 MAY 7 AM to 11 PM (Romance Dinner to be held in this space), 18 MAY 7 AM to 1 PM Respective number of padded chairs will be free floating and arranged initially in arcs / theater style facing a cente r elevated platform with podium and house PA that will cover entire ballroom and 500 person capacity. Setup will include: " Elevated Platform 18 x 24 rise . . . minimum 25 long, by 6 deep " 4 6 tables (dressed), 2 to each side of Podium that i s centered on platform " Podium (with microphone wired to house sound system and capable of projection to entire ballroom and 500 person capacity) and Cordless Lavalier Microphone and Cordless Handheld Microphone (Total of 3 Mics) Setup and sound check included " LARGE projection screen (min 12 x 15) behind platform / podium " Permission for Army to bring its own and all necessary Video Projectors, Computers, and additional projection screens, with all electrial hookups Six (6) Meeti ng spaces for 75 people for Breakout Sessions with 4, 6-foot tables (dressed) along back wall or in hall.) This space required 16 MAY, 4 PM to 11 PM, 17 MAY from 7 AM until 1 PM. Respective number of padded chairs will be on a) FRI PM (stacked in rear of room), and b) on SAT AM, free floating and arranged initially in arcs / theater style facing a center podium. Setup will include: " Podium (with microphone and house sound system capable of projecting to entire room) with Cordless Lavalier Microp hone and Cordless Handheld Microphone (Total of 3 Mics) Setup and sound check included " Permission for Army to bring its own and all necessary Video Projectors, Computers, and additional projection screens, with all electrial hookups One (1) Meeting Space for 50 children for Infant Childcare with 4, 6-foot tables and skirts along back wall or in hall. This space required 16 MAY 2008 from 3 PM until 11 PM, 17 MAY 2008, 9 AM until 1 PM, and 6:00 PM until 10 PM, and 18 MAY 2008 9 AM until 1 PM. 15 padded chairs must be STACKED IN REAR CORNERS OF ROOM. 4. Amentities: Approval of / or direction in the process of Large Beach Bonfire authorization for local authorities with outdoor beach music (prerecorded) provided by Army. 5. Park ing: Dedicated hotel parking for POVs at no additional cost on-site. 6. 3 (three) Comp Rooms: for the Chaplain and spouse, Chaplain Assistant and Spouse, and FRG Leader, for night of 15 MAY, in order to view hotel / meeting space / coordinate setup beginning on 16 MAY 2008. 2. Contractors may use a direct XML data transfer to the database server or fill in the fields on the website. The XML direct transfer is a format for transferring files from a contractors systems to the secure web site without the need for separate data entries for each. 5.
