Description
This is a REQUEST FOR INFORMATION in accordance with Federal Acquisition Regulation 15.201. The U.S. Department of Homeland Security (DHS), Office of the Chief Procurement Officer (OCPO) is seeking a conference facility for the annual DHS Chief Procurement Officer conference to be held on January 22- 24, 2008. The conference facility must be within 200 miles from Washington, D.C. The desired conference facility shall consist of the following: 1. The Conference Meeting Room provided must accommodate 25 people comfortably and include the following amenities: a. At least 25 chairs around U shaped tables b. Water and glasses on each table c. Two podiums with water and a chair for each podium d. American Flag e. IT projection system capable of displaying Office 2003 Power Point presentations. This includes laptop or similar, projection equipment, screen, speakers or smart board capability. f. Two easels with butcher block paper and markers g. Paper and pens available for participants h. Wireless connectivity for up to twenty five laptops 2. The Conference Facility shall also include the following: a. Access to business center copiers, computer with internet access and message service. 3. The Contractor shall provide coffee and light refreshments in the morning and light snacks in the afternoon. 4. The Conference facility shall provide up to twenty-five (25) hotel rooms in accordance with the government per diem rate with cancellation of reservations by 6:00pm EST the day of arrival. Hotel rooms will be paid separately by each individual attending the conference. 5. Hotel Accommodations shall include: a. Private non-smoking rooms with king size or two queen size beds to include individual toilet facilities b. Restaurant on site serving breakfast, lunch, and dinner c. Facility must be FEMA approved and listed on the U.S. Fire Administration Hotel and Motel National Master List found at http://www.usfa.fema.gov/hotel/search.cfm. d. Facility must be compliant with the requirements of the Americans with Disabilities Act (Public Law 101-366) (42U.S. C. 12101 et. Seq.). Please provide any descriptive literature to include but not limited to availability for January 22-24, 2008, sleeping room information, meeting room space diagrams and square footage, information (availability) on amenities of hotel i.e., parking, shuttle services Submit all descriptive literature to Ms. Tarasia Remhof, Contract Specialist, Tarasia.Remhof1@dhs.gov, Phone: 202-447-5484 and to E. This Request for Information (RFI) is to gather information for planning purposes only and should not be construed as a solicitation or as an obligation on the part of the Government. The Government does not intend to issue an award on the basis on the responses generated as a result of this RFI nor otherwise pay for the preparation of any information submitted or for the Governments use of such information. Acknowledgement for the receipt of responses will not be made, nor will the respondents be notified of the Governments assessment of the information received. No basis for claims against the Government shall arise as a result of a response to the RFI or the Governments use of such information as either part of our evaluation process or in developing specifications for any subsequent announcement. Responses will be held in confidential manner. NOTE: THIS NOTICE MAY HAVE POSTED ON FEDBIZOPPS ON THE DATE INDICATED IN THE NOTICE ITSELF (03-DEC-2007).
