- The Social Security Administration (SSA) intends to negotiate a sole-source acquisition with the InterContinental Buckhead Hotel, 3315 Peachtree Road, N.E., Atlanta, GA, for the purpose of providing conference support services including registration space, conference meeting space, break-out rooms, and associated support services including A/V equipment, continental breakfast, morning and afternoon breaks for up to 375 attendees on the dates of August 12-17, 2007. Registration will begin the afternoon of Monday, August 13th, and the conference meetings will begin on Tuesday, August 14th. The following space is required: Registration space required Monday from 3-6pm, Tuesday and Wednesday from 7am-5:30pm and on Thursday from 7am-3pm. Space shall be able to accommodate congregation/flow of 375 meeting attendees along with 2 long registration tables spaced 10 feet apart, 6 chairs, and 2 easels. In addition the following meeting space is required (note the contractor must be flexible with regard to the configuration of general sessions and breakout sessions). August 14th: Main Meeting space from 7am-12pm for 375 people, set up classroom style with space for a riser and podium for presenters. Four break out rooms from 1pm-5pm: Three shall be set up classroom style for 60 people each; one shall be set up classroom style for 200 people with space for a riser and podium for presenters. August 15th: Four break out rooms from 7am-5pm: Three shall be set up classroom style for 60 people each; one shall be set up classroom style for 200 people with space for a riser and podium for presenters. August 16th: Main Meeting space from 11am-12pm for 375 people, set up classroom style with space for a riser and podium for presenters. Thirteen break out rooms from 7-11am: Ten rooms shall be set up U-shaped for 20 people each; three shall be set up classroom style for 60 people each. In addition to meeting space, the hotel must be able to provide Audio Visual Equipment and Food Services such as continental breakfasts, AM and PM breaks for 375 people. Food services must be served in an area in close proximity to the meeting space. The facility must also be able to accommodate a minimum of 1,170 sleeping room nights, at the Government per diem rate or less, as follows: 20 rooms on August 12th, 350 rooms on August 13-15 and 100 rooms on August 16th. Other Hotel Requirements: Hotel must be located in Atlanta, GA; Hotel must be FEMA Approved and be able to offer handicapped rooms if requested by attendees; Hotel must meet and have the ability to exceed the number of sleeping rooms requested and provide additional meeting space should the need arise to increase attendance; Hotel must have centralized general session space to accommodate a minimum of 375 people; Hotel must have break-out rooms in close proximity to the main meeting space and all must be able to accommodate classroom configuration for the number of people requested above; Hotel must have multiple restrooms on same floor very near meeting space; Hotel must be able to offer complementary Internet access in guest rooms; Hotel must be in very close proximity to public transportation system and numerous restaurants and located in a safe, secure location. The conference events and the sleeping rooms must be under one roof. See Numbered Note 22 except that the response time is changed to 5:00pm EST in 2 calendar days. SSA is not seeking an event planner for this event.
