Description
USAREUR/7A is seeking an industry leader capable of bringing creativity and innovation to bear on the needs of its customers. Critical to this relationship is a proven commitment to train and maintain the best workforce in the exhibit business, to d evelop and manufacture successful exhibit systems, to maintain high quality standards through complete in-house control of all major aspects of the exhibit process, and to offer continual refinement and full service in support of our specific vision and ne eds. The overall plot for the modular exhibit is 30 feet by 40 feet, 1200 square feet. The exhibit should conform to this area with adequate traffic flow. Additional space allocation will include, but not be limited to 6-8 meet & greet areas, reception ar ea, multimedia areas, lockable storage and a presentation/entertainment area for the USAREUR Chorus. The contractor shall use a 4 inch diameter, satin-finish, rust-free, modular tube system with integrated wire management capabilities. The tube system wil l be constructed of non-aluminum/non-plastic metal components with interconnecting metal hubs capable of multi-angle connections. The tube system will be available in a variety of straight and curved lengths and diameters to specifically include 11.5 degre e radius curves capable of creating circular structures in excess of 30 feet in diameter and heights in excess of 21 feet. Larger degree radius curves may be necessary to accommodate reconfiguring the exhibit for smaller shows with less floor space. The co ntractor shall utilize the steel frame Inliten system to work seamlessly with the tube system to provide a more robust exhibit solution in the area of the five stations. Inliten can carry graphics on both sides of the frame section which eliminates redunda nt structure and reduces costs. Central to the exhibit, the contractor shall supply two 12.5 x 21.5 double sided, dye-sublimation fabric graphics with heavy gauge zippered seams. Throughout the remainder of the exhibit, the contractor shall supply a min imum of 30 (or 15 double-sided) 4 foot x 8 foot graphics, one 4 foot x 6 foot graphic for overhead entry, seven see-thru 4 foot x 8 foot flying graphics, six double-sided 4 foot x 6 foot graphics for the overhead back panel, two main panel graphics for the reception tables, two graphics for the stratus tables and miscellaneous graphics for the storage room exterior walls and doors. The contractor shall supply five tall director chairs, two small end table type tables and four padded chairs to be used aroun d the exhibit. The contractor shall supply a two sided backlit display table showcasing maps of USAREURs area of operation and Partnership for Peace countries and states. The maps should be approximately 4 foot x 6 foot each. This same panel system is a lso required for the lockable storage area and nearby meeting space. This modular structure must be a light weight, rigid panel system with 3/4 inch aluminum framing and integrated wire conduit system and must connect with a slide-connect panel lock syste m. The panel system should be UL Commercially Listed as a complete system. Flooring for the exhibit should be a non-flammable black carpet/rug/flooring. The vendor shall install all necessary audiovisual equipment necessary for the exhibit. These items include, but are not limited to: (1)Five each selectable source (A/B Box) 26 inch flat screen LCD monitors; (2) Five each high performance desktop PCs with mouse and keyboards, in-house activated internet connections, and all necessary cabling and periphe ral device for internet kiosks. This includes routers and hubs for computer networking; (3) Audio speakers for each computer/projector system; (4) Required wires, one source DVD player to 5 selectable monitors, connectors, mounts, stands and supports neces sary for each independent audiovisual presentation to function properly as a system; (5) One Fogscreen (www.fogscreen.com) unit that creates a layer of fog that is at least 79 inch x 59 inch tall, which will display a welcome message. Area behind the Fogscreen should provide the proper contrast so the welcome message can be seen from a distance; and 6) Lighting: The contractor shall supply necessary lighting to properly illuminate the graphics throughout the exhibit. The contractor shall provide, within its own establishment, a storage facility to house the exhibit.The contractor shall inspect and prepare the exhibit prior to the show. The contractor shall also perform post show inspections at which time the exhibit will be cleaned and inspected for any signs of damage. The contractor shall provide USAREUR a post-show report attesting to the condition of the exhibit within three weeks of returning it to the stor age facility. All the graphics and items considered not part of the rental/lease will be sent to USAREUR or USAREUR will provide disposition instructions. The contractor shall pay for all costs associated with shipping the exhibit to the event. Transporta tion includes costs to send and receive the exhibit to the event location. Drayage charges will be the responsibility of the contractor under Show Services order contract. The contractor shall provide trained personnel to travel with the exhibit and ensur e the proper installation and dismantling of the exhibit, and where allowed, shall also provide appropriate labor. The contractor shall have experienced Project Managers to orchestrate the entire project from design to installation and shipping, working wi th exhibit consultants, designers, engineers, installers every step of the way and monitoring all details. This exhibit is required for the AUSA 2007 Annual Meeting, October 8-10, 2007 Exhibit site: Washington DC Convention Center, 801 Mount Vernon Plac e, NW, Washington, DC 20001. Acceptance of the exhibit is expected to be at leas t three weeks prior to the AUSA Meeting.
