Description
The Federal Bureau of Prisons, Central Office Business Office is seeking quotes from Hotels in the Aurora, Colorado area to provide Lodging, Meals, Transportation and limited Conference Room space for National Institute of Corrections Training (NIC) events. THIS IS NOT A SOLICITATION FOR EVENT MANAGEMENT SERVICES. A single award, Fixed Price - Requirements type contract is anticipated. Task Orders will be issued on a quarterly basis based on prescheduled training events. Hotels responding to this synopsis shall be no more than 12 miles from the NIC Training facility located at the Management & Specialty Training Center (MSTC), 791 Chambers Road, Aurora, CO 80011. Hotels will submit fixed package rates that cover the cost - per participant - of lodging, 2 meals (breakfast and dinner), transportation to and from the airport upon arrival and departure, transportation to and from the NIC training facility each day of the training event, and an apportionment of limited conference/meeting space costs (occasional evening sessions). Hotel will also be required to provide meal upgrades (banquet setting, priced separately and offset by the amount being charged for the daily evening meal incorporated into the per participant package rate), and accommodate participants who arrive early and/or depart late from the training event. The BOP anticipates a 3-month Base performance period (July 2007 through September 2007) and four 1-year option periods. Anticipated training schedules will be provided to the Hotel no later than August 1st for the upcoming Option period. Participants list will be provided to the Hotel no later than 14 days in advance of the training event start date. Hotel will be able to accommodate participants for as many as three (3) NIC training events in one week. Training events typically include up to 30 participants and 5 resource staff. Hotel will be required to accommodate resource staff, however, the costs associated with these individuals will not be included in this contract - but handled separately and individually between the Hotel and the staff member. The BOP anticipates an estimated 13 training events during the base period of the contract and an estimated 40 training events for each option period exercised. Interested parties will be evaluated based on the criteria identified in the Solicitation. Evaluation will be go-no go - meaning ALL identified criteria must be met to be considered for award.
