- Document Preparation: Statement of Work All source documents, including folders will require copy preparation to include copying of pages if necessary, removal of staples, repair of torn pages, ordering and all other necessary preparation required to effectively scan pages. Approximately 85% require light copy preparation and 15% require moderate to heavy copy preparation. Only folders marked closed with the year will be processed. Any file folder not stamped/marked closed will be returned to the customer. Scanning: All source documents, including folders, must be scanned to produce 200dpi, 1 bit, multi-page tiff group 4 images. One multi-page TIFF folder. Alls cans must be corrected during scanning for skew (<5%), black borders, and speckling. Some source documents must be scanned using an adaptive threshold type scanning system that adjusts the density of the image for changes in background and quality. Documents are single an double sided and vary in size from 2" x 3" (51 x 76 mm) to 8 -1/2" x 14" (216 x 336 mm). Indexing: (EXCEL Spreadsheet) Each folder of documents must me indexed in the following information: Last name First name Middle Initial Brach of Service Type of shipment (OB, IB, NTS, etc.) Closed year Reel/Frames The indexes are to be double keyed for accuracy from information on the jacket. The Personal Property Office does not have an ASCII list on this information. All information for indexing must be obtained from the folder and documents in folders. Microfilming Location: All microfilming must be completed locally within a 30 mile radius. Contractor must have the capability to transport multiple boxes and store in a facility within in the area. The Personal Property Office must have access to files that are being stored in the warehouse if needed. Additional Requirements: Personal Property requires that local contractor complete no less than 50,000 scans a month to be delivered to 7920 14th street, SDA-336, Norfolk VA 23505 on or about the 15th and 30th of the month. Personal Property requires that the local contractor purge/prepare all paperwork for filming. Including but not limited to removing all staples and paperclips and removing multiple copies from the file. Personal Property office requires that all reusable jackets be returned to 7920 14th street, SDA-336 Norfolk VA 23509. Personal Property requires local contractor to properly dispose of all papers and non reusable jackets (folders) by shredder that is received in there office.
