Description
APEC Seminar on the Border Enforcement of Intellectual Property Rights Los Angeles, California Hotel requirements for event: Hotel must be in Los Angeles, CA. Hotel must be in close proximity to LAX Airport and provide complimentary shuttle to and from LAX Airport. Guest Rooms: Five (5) guest rooms for U.S. Government officials will be required for the period of September 23 ? 29, 2006. One hundred and twenty five (125) guest rooms for U.S. Government and foreign government officials will be required for the period of September 27 ? 29, 2006. Approximately 60 individuals will be paid for on the USPTO Master Account; the remaining individuals will be self-pay. Incidentals are the responsibility of all individual attendees. Conference Meeting Rooms: Office space large enough for four computers (with Internet access), four printers, one fax machine, two telephones, and assembly space is need for the period of September 24 ? 29, 2006. Storage space is also required. A space to accommodate 120 people in classroom style setting (at least 2000sq. feet) is required. The room should be set up with 18 skirted tables with a maximum of 2 attendees at each table. A stage with a skirted dais as well as a podium is required to accommodate four panel speakers. The space is required for the period of September 26 ? 29, 2006 and required for a 24-hour hold. A separate room is required for a plated lunch on September 27, 28, and 29. This room should be able to accommodate rounds of eight for 130 people. Coffee breaks should be held in this break out room, or in the area outside the main conference room. Two separate staff office rooms are required for the period of September 24 ? 29. These rooms must be separate from the usual hotel Business Center room/s. Audio Visual: The seminar requires audiovisual equipment and support. Aside from the equipment itself, hotel provided personnel will be needed to set up the site, be on site throughout the three-day event to run the equipment and troubleshoot and problems that might arise during the seminary, as well as take down the site after the conference. The AV requirements for this program may include: IPAC AUDIO VISUAL REQUIREMENTS (subject to change) PROJECTION/DISPLAY: (2) 9 x 12 RP Screens w/ Dress Kit; (2) 5000 Lumens LCD Data Projector; (1) Wireless Cue Lite - Mouse; (2) Projection Screens (one on each side of stage); (6) Laptops; (2) Projectors SOUND: (2) CD Players w/ Walk-In Music; (2) Computer Audio Hood-Up; (3) Table microphones for stage panel; (1) Podium microphone; (2) Lapel microphones; (2) Audience Stand microphones The USPTO will award a purchase order to the responsible offeror whose offer conforming to the solicitation will be the most advantageous and represents the best value to the USPTO, price and other non-price factors considered. The USPTO will determine what trade-off among among the following factors promises to the greatest value to the USPTO. When combined, non-price factors are more important than price. 1. Hotel layout; a. suitability of room for plenary session; b. proximity of rooms to each other and ease of movement among rooms; c. ability to adjust room temperatures and lighting; 2. Ease of access and security during arrival and departure of conference attendees; 3. Quality of lodging (i.e. cleanliness and security) and ease of access to e-mail for conference participants; 4. IT / AV support; 5. Total price including lodging, conference rooms, meals and price list for IT / AV support. Responses must include pricing for conference and sleeping rooms as well as lunch, and a breakdown of conference room space (layout, capacity, location, etc. as well as any additional information of value that the offeror wishes to submit). The selected hotel must accept a Government purchase order. The USPTO, at its option, may conduct a site visit. This request for quotation shall not be construed as a commitment of any kind.
