Description
The Department of Veterans Affairs has a requirement for Hotel Accommodations and Hotel services located in the geographic area of downtown St. Louis, MO. The Department of Veterans Affairs, Veterans Benefit Administration, Loan Guaranty Service will be sponsoring a training conference on the topic of "Specially Adapted Housing. The hotel must accommodate 90 sleeping rooms at the government PerDiem for St. Louis, MO. The breakdown for hotel accommodations are as follows; 14 sleeping rooms per night (Arrival July 23, 2006 - Depart July 28, 2006) 72 sleeping rooms per night (Arrival July 24, 2006- Departing July 28, 2006) and 4 sleeping rooms per night (with flexible arrival/departure dates between July 24-28 2006). All participants will be departing on Friday July 28, 2006. Based on the breakdown described, the total rooms requested are 90 each. All rooms must be individual /private sleeping rooms with toilet facilities smoke free and at government per diem rate for St Louis, MO. Payments for rooms shall be the sole responsibility of each participant. Additional requirements for the hotel consist of the following Meeting space for General Session to be held on a 24 hours basis starting with setup for room and AV equipment to include (1 table microphone; 1 cordless microphone; 1 projector; 1 podium and (2) flip charts) equipment will be needed Monday July 24, 2006 beginning 7:30am through Friday July 28, 2006 ending at noon. Classroom setting for 90, head table for 6 on riser to include the podium. Ice water and glasses provided on each table with writing pads and pens. General Session room must be provided without pillars/post to obstruct view. (1) Breakout room Monday July 24, 2006 set for 15 (Conference style) All day. (1) Breakout room Friday, July 28, 2006 set for 15 (Conference style) 8:00am - 12:00 noon (4) Break out rooms needed from Tuesday, July 25 through Thursday July 27, 2006. Rooms are needed from 2:00PM - 5PM each day. Each breakout room must accommodate no les than 25! people, set in classroom seating. Each breakout room must include a flip chart. Each of these breakout rooms must be without pillars/post to obstruct view. Registration Area: Monday July 24, 2006 at 12:00PM (set up) through Thursday July 27, 2006. There should be a six-foot table with skirting available with three chairs, plus an in-house only desk phone and a trash can.. The government also requires that the hotel provides the government rate be available for weekend before/after for a limited number of participants; 15 miles from Lambert International Airport; Complimentary continental breakfast and light refreshments for morning and afternoon breaks; Complimentary meeting space & hospitality room; (5) VIP upgrades; 24-hour Fitness Center; on-site gift shop; in room high speed internet access; on-site swimming pool; on-site parking; on-site 24 hour security; access to on-site hotel representatives during business ours and a variety of restaurants and activities within walking distance (NTE 5 blocks). The specific instructions contained herein are intended to serve as guideline for the preparation of the quotation. In developing the quotation, the Contractor shall comply with the requirements stated in the description. THE GOVERNMENT INTENDS TO AWARD WITHOUT DISCUSSIONS. Therefore, each contractor is urged to examine this request for quote in its entirety and to ensure that their quote contains all necessary information, provides all required documentation, and is complete in all aspects. The awardee for this requirement must be register with Central Contract Registration (CCR), please see website at www.ccr.gov or at (888) 227-2423. This announcement constitutes the only solicitation; quotations are being requested and a written solicitation will not be issued.
