- Description
- The Social Security Administration (SSA) intends to negotiate with The Fairmont Hotel at Illinois Center, 200 North Columbus Drive, Chicago, IL 60601 on a sole source basis for the acquisition of meeting rooms, audio/visual equipment, refreshments, etc. for the Regional Managers' Conference to be held on August 25 - 29, 2003. To limit the travel expenses of the Regional Office participants, the Chicago downtown area is preferred as the conference site location. An estimated 450-500 individuals will be attending the Regional Managers' Conference. SSA will require approximately 400 sleeping rooms for the period August 25-29, 2003, at the prevailing Government rate. A general session room accommodating approximately 500 individuals and 4 to 6 breakout rooms holding approximately 50 people each will also be required. The general session room must provide space for at least 10 table top exhibits. Audio/visual equipment is estimated to include 1 large screen, 7 microphones, 7 smaller screens, 4 to 6 overhead projectors and 4 to 6 video projectors. Light refreshments for morning and afternoon breaks will be required. The dates of the Regional Managers' Conference are restricted to August 25-29, 2003 in order to accommodate the SSA Commissioner's schedule. SSA has researched numerous hotels in the Chicago area based on the requirements specified above. No other source is known to SSA that is capable of supplying the required rooms, equipment and space for the given timeframe. Any source submitting a written responses to this synopsis shall include sufficient documentation to establish a bonafide capability to fulfill the requirement and must be compliant with the Hotel and Motel Fire Safety Act (provide FEMA number) and the Americans with Disabilities Act. A SOLICITATION IS NOT AVAILABLE. Any written and/or verbal requests for copies of a solicitation relating to this announcement will not be honored or acknowledged. A determination by SSA not to compete this requirement based on any responses received to this notice is solely within the discretion of SSA. Any information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. The Government will not pay for any information received.
