Description
This is a REQUEST FOR INFORMATION. Reference SSA-RFI-06-1001 when responding to this announcement. The Social Security Administration (SSA) is seeking information from sources capable of providing MEETING SPACE AND CONFERENCE SUPPORT SERVICES for the Agency's 2006 Diversity Conference to be held on July 6-8, 2006 in Atlanta, GA. Responses must contain sufficient documentation to establish a potential capability to fulfill the requirement as described in this announcement. Closing Date for this submission is 10 calendar days from the date of this notice. Responses must be emailed to the contract specialist, Melissa.Law@ssa.gov. No FAXED responses will be accepted. Respondents will NOT be notified of the results of ANY evaluation made from the information submitted. NO award will be made from the basis of this announcement. The information will be used in SSA?s assessment of capable sources. NO FORMAL SOLICITATION IS BEING ISSUED AT THIS TIME. The Government will NOT pay for information provided in response to this announcement. GENERAL REQUIREMENTS: SSA will host its 2006 Diversity Conference from July 6-8, 2006. The conference is a 2 1/2 -day event from 8:30 a.m. Thursday July 6th to 1:00 p.m. Saturday July 8th. Attendees will arrive on Wednesday July 5th and depart on Saturday July 8th. Sleeping rooms are not part of this acquisition, as attendees are responsible for making their own reservations for sleeping rooms. However, the facility must be able to accommodate the sleeping room requirements as outlined below in Mandatory Facility Requirements. The contractor shall provide all on-site meeting and dining space, catering needs (breaks and lunches that are included in the acquisition and reception and dinner that are not included in the acquisition must be held at the facility) and Audio Visual (A/V) needs as outlined below. Catering Needs: The contractor shall provide light refreshments for morning and afternoon breaks. Morning breaks shall consist of coffee/tea and an assortment of sweet breads/pastries, etc. Afternoon breaks shall consist of soda and bottled water and an assortment of cookies, brownies, popcorn or similar items. Lunches shall consist of a "complete hot meal" that includes soup or salad, choice of beef, chicken or fish, 1 starch, 1 vegetable, coffee and tea and a dessert. The space requirements, meal times and number of attendees for each meal are outlined in the mandatory facility requirements below. The contractor shall also provide all A/V equipment. MANDATORY FACILITY REQUIREMENTS: The facility must: 1) be in the Atlanta, GA metropolitan area; 2) be accessible by shuttle service from the airport; 3) be accessible to public transportation; 4) be able to accommodate 1,000 sleeping rooms on the nights of July 5th, 6th and 7th; 5) be ADA compliant, including Braille on elevators and sleeping room doors, have wheel chair ramps, etc. and accommodate up to 5 sleeping rooms with roll-in showers; 6) be FEMA certified; 7) be able to provide meeting space and sleeping rooms under one roof; 8) have exhibit space sufficient for 100 8x10 exhibit booths and separate area for breaks; 9) include space for a reception for 1,200 attendees on the evening of July 5th from 6:00 - 9:00 p.m.; 10) include space for a general meeting session for 2,000 attendees on the morning of Thursday, July 6th from 8:30 to 11:00 a.m., on Friday July 7th from 8:30 to 10:30 a.m. and on Saturday July 8th from noon to 1:00 p.m.; 11) be able to accommodate fifteen (15) breakout rooms varying in size from 50 to 500 attendees on the afternoon of Thursday July 6th, all day Friday July 7th, and on the morning of Saturday July 8th; 12) be able to provide space for a seated dinner for 1,500 attendees on Thursday July 6th (cost of the dinner is not included in the acquisition but will be included in the attendees registration fee); 13) be able to provide space for breakfast on Thursday July 6th and Friday July 7th for 700 attendees (cost of the breakfasts is not included in the acquisition but will be included in the attendees registration fee); 14) be able to provide space for lunch for 1,500 attendees on Thursday July 6th and Friday July 7th (breakfasts and lunches should be served in an area that is separate from the "general session" area. Presentations by various speakers will occur during the lunch meals.); 15) be able to accommodate a morning and afternoon break with light refreshments for 1,000 attendees on Thursday July 6th and Friday July 7th and a morning break only on Saturday July 8th for 700 attendees; 16) be able to provide on-site A/V services on July 6-7th; 17) offer all sleeping rooms at the government per diem rate or less; and 18) honor conference sleeping room rates for three days before the event and three dates after the event.
