Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6 as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The SIC is 7011. The NAICS code is 721110. This solicitation serves as the Request for Quotation for lodging/conference services in the Miami, Florida area. Line items are as follows: Ite m 0001: Conference room/meeting area to hold 120 attendees including refreshments and meals from 15 Nov through 18 Nov 2005. Refreshments/Meals per day as follows: (Include gratuity/service charge. Tax exemption will be requested.) a. Six light Refresh ment breaks for approximately 115 on 16-18 Nov 05 as follows: 16 Nov 05: PM Break (approximately 3:00 pm); 17 Nov 05: AM Break (7:15am-8:00am), Mid-AM Break (10:30/45am approx); PM Break (3:00/15pm); 18 Nov 05: AM Break Mid-AM Break (10:00/15am approx); E ach refreshment break should include a variety of fruit, pastries, cookies, etc., (as appropriate to AM/PM breaks) in addition to beverages. b. 15 Nov 05 (6:30pm - 8:30pm) - Hors d'oeuvres for icebreaker include at least three (3) items for approximately 120 attendees. c. 16 Nov 05 (6:30pm - 8:30pm) - One (1) plated dinner per-person with two (2) entr?e choices for approximately 120 attendees. Specific count (per entr?e) to be provided to hotel prior to event. d. 16 Nov 05, Luncheon Buffet at appro ximately 1230 for approximately 120 attendees. e. 17 Nov 05 (12:00pm - 1:00pm) - One (1) plated lunch per-person for approximately 120 attendees. f. 18 Nov 05 - Luncheon Buffet at 1230 for approximately 120 people. Item 0002: Conference room/priv ate area for reception for 120 attendees for one hour from 6:00 pm through 7:00 both nights - 15 Nov and 16 Nov (No seating required.) Item 0003: One administrative support room with two phones and Internet connectivity - 15 Nov 2005 (10:00 am) through 18 Nov (3:00 pm). Item 0004: General Session room (classroom style set-up or round tables of 8-10) with podium set-up for 115 attendees. Item 0005: One private small conference/meeting area 16 Nov (7:15am) through 18 Nov 05 (12:00pm) for 15 attendee s. Conference configuration style set up. Item 0006: One private area for dinner for 120 attendees on 16 Nov 05 at 7:00pm. Item 0007: One private room/area for lunch for 120 attendees on 17 Nov 05 at 12:00. Item 0008: Equipment needed: one or two large screens for general session room; Proxima in-focus projector, microphones; one podium microphone and two wireless microp hones; sound system; extended hours (until 8:00 pm) to on-site equipment such as fax, color printer, color copier, and computer with USB port for jump-drive access. Item 0009: Reserve approximately120 sleeping rooms from 14 Nov through 18 Nov 05 (Check -in on 15 Nov, check-out on 18 Nov.) for conference attendees and support staff. Reserve one suite for guest dinner speaker for 2 days (15-16 Nov). Reserve one room for guest luncheon speaker for 2 days (16-17 Nov). e. Note: Guest/sleeping rooms will b e reserved and paid for by attendees (individual Government credit card); therefore do not include charges in your quote. Do not include in quote. Sites must disclose any ongoing construction that may interfere with the noise level, access, and use of utilities (water, power, etc.). Site must provide exclusive use of swimming pool 16 November 2005 from 7:30 am to 12:30 pm for teambuilding exercise. Sufficient deck or space must be available to allow approximately 115 persons to construct materials for teambuilding. Sites must disclose any additional fees, (resort fees, transportation fees, etc.). Award will be based on the best value to the Government which will be determined by evaluating: room rates, room tax rate, microwave, refrigerators, hig h-speed internet, security feat ures to include gated entrance and alarm system, coffee pot, hair dryers, TV, on-site laundry facilities, iron/ironing board, linen service, cleaning services, swimming pool, distance from golf course, and fitness center open from 5:00 AM with extended hou rs to at least midnight. Facilities without on-site jogging trails/areas must ensure that ready and easy access to fitness facilities with a track is provided within 5 miles of site, with courtesy transportation being provided. Rates will not exceed the lodging portion of the local area per Diem rate authorized by the Joint Federal Travel Regulation (JTR) Vol 1. Site visit is optional. The Government reserves the right to shift lodging dates and/or cancel completely. The Government reserves the right to cancel if lodging facility is unsatisfactory. The Government reserves the right to award to other than the lowest price if determined to be in the best interest of the Government. Payment shall be based on occupancy only. Facility must be registered with FEMA (Federal Emergency Management Agency) Fire Prevention and Control. Provisions at FAR 52.212-1, Instructions to Offers-Commercial and FAR 52.212-4, Contract Terms and Conditions-Commercial Items apply to this acquisition. Offerors need to include a complete copy of the provisions at FAR 52.212-3, Offeror Representations and Certifications-Commercial Items with their offer (registered in CCR, DUNS Number, Cage Code, and Tax ID Number). The clause at 52.212-5, Contract Terms and Conditions required to implement Statues of Executive Orders-Commercial Items, applies to this acquisition.
