Description
This is a modification to the synopsis entitled CUSTOMER RELATIONSHIP MANAGEMENT APPLICATION which was posted on July 28, 2005. You are notified that the following information is provided to augment the initial synopsis/solicitation: QUESTION SET ONE QUESTIONS AND ANSWERS TO SUBMITTED QUESTIONS Q1. Currently of the ARC customers both active and inactive, how many are there for about whom information is maintained? A1. There are approximately 10 major customers currently being tracked. Q2. What is the geographical distribution of this information? Is it all maintained at one location, i.e., ARC, Moffett Field, CA? A2. The information is maintained at Ames Research Center only. Q3. Content Management indicates four high level requirements, i.e., (1) Contact Information, (2) Customer/ Account Information, ((3) New Business Opportunity Information, and (4) Business Proposal Information with financial data across fiscal years. How is the information currently maintained, is it de-centralized, stove pipe data maintained across ARC in different file formats and made available on specific requests? A3. It is currently kept in Excel spreadsheets, in one central location. However, a goal of using CRM software is to de-centralize the record keeping across the organization. Q4. How many entities/tables are being used? A4. We currently have one ?table? in use. Q5. To scope the customization needed can we get the list of tables and their description (table name and column names) A5. A draft description of the information to be recorded is as follows: (1) Contact information (for customers and NASA Ames staff); such as name(s), phone numbers, email addresses. (2) Customer/ account information. (3) Recent activities associated with customers, customers' needs, etc. (4) Opportunity information (associated with customers); such as whether the opportunity/proposal is solicited or unsolicited, the due date, the award date, etc, for each opportunity. (5) Business proposal information (associated with opportunities), such as the topic of the proposal, the PI(s), potential value (prior to award announcement), whether the proposal was won or lost (after award announcement), the dollar value for each year of the proposed project, etc. Q6. What is the current volume of records in these tables and average growth rate? A6. There are currently about 40 records; this will grow as we begin using the software. Growth rate is unknown. Q7. Does the existing grouping and classification of data meet the requirements of the user groups and their business queries? If these are to be re-engineered, is there a requirements specification document available for this purpose? A7. There is not a separate document. Please use the description provided. Q8. Delivery is indicated as 30 days ARO. It is not clear if this refers to the fully customized application. What are the deliverables expected in 30 days? A8. The fully customized application is expected within 30 days ARO. Q9. Is this application expected to be accessible both on the ARC intranet as well as outside users through the internet? A9. The application will be accessed on the ARC intranet only. Q10. Please define the term ?Customer? as noted in the solicitation. Please indicate some sample customer organizations. A10. A customer is defined as an actual or potential funding source. Examples are: NASA Science Mission Directorate, NASA Exploration Systems Mission Directorate, DARPA, DHS, etc. Q11. Is it expected that the Customers would also have access to view information relevant to them and submit information/documents as may be relevant to their business directly to the Web application? A11. No. Q12. Would you please tell me some more about the existing Macintosh hardware which you would like to have the system hosted on. What version of the Macintosh Operating System is running? How many Macintosh?s are dedicatd to hosting the application? A12. We will be hosting the system on one Macintosh computer. The Operating System is Mac OSX Server 10.4. Q13. We are not aware of any web server offering on a Macintosh computer. Would you be will to use Microsoft?s IIs 6? A13. No. Q14. Could you please tell me if this RFQ is for a new requirement or is there an incumbent contractor? A14. This is a new requirement. Q15. Do you have an idea yet as to what the duration of the contract will be and when do you anticipate an Award for these services to be made? A15. The delivery of the product is due 30 days after receipt of the order. Award will be made after evaluation of proposals is complete. Q16. Should software development costs for customization be proposed at an hourly rate? A16. Offerors may propose software development costs using a fully burdened hourly rate; however, a total price is required in the proposal, based on the requirements outlined in the SOW. Q17. In the future, will there be a need to increase the number of users (i.e. beyond 50 users)? A17. No, we do not foresee that there will be a need for large numbers of additional users. Q18. So basically, you will want the CRM application to reside on a Mac server. What is the current configuration of the Mac ? how big and how fast is this Mac? A18. We will use the following Mac computer for the server: Processor: 1.86 GHz Memory: 1 Gb Operating System: OS X Server 10.4 Q19. How big of a database will you need to maintain? A19. We currently track about 10 major customers. The number of records (of opportunities and proposals) is estimated to be approximately 400 per year, and we will keep data over multiple years active in the system, so it will grow over time. Q20. Does it need to support different languages? A20. No. Q21. Does it need to meet Section 508 requirements? A21. The extent to which the software is Section 508 compliant will be part of the evaluation. Documents related to this procurement will be available over the Internet. These documents will reside on a World Wide Web (WWW) server, which may be accessed using a WWW browser application.
