Description
This amendment provides questions received in response to the combined synopsis/solicitation along with the answers. THE CUTOFF DATE FOR SUBMISSION OF QUESTIONS WAS MAY 2, 2005. ADDITIONAL QUESTIONS WILL NOT BE ACCEPTED. Q: Does the conference begin on Wednesday @ 8am and end @ noon Friday? A: The conference begins with a reception Tuesday night (7pm) and ends Friday at noon. The reception will have beer, wine and heavy hors d’oeuvres. Q: Do you care if your meals are sit down or buffet? A: Please include prices for both sit down and buffet in your proposal. Q: For audio visual, I can provide a list of pricing for rentals, but will need to know exactly what is needed to provide a firm-fixed price. Do you know what AV is required? A: Please include a comprehensive AV price list for all services and equipment required for the meeting described in the synopsis. Unit prices for all services and equipment must be proposed on a firm fixed price bases. Q: Is there a general session? If yes, how many people and the requested seating? Do you know what the set up for the breakout rooms would be in general? Is it round tables, classroom, or theater? How many people will be in the smaller breakout rooms? Q: How do you want the meeting set up - General Session and breakouts? A: Yes. General session with 600-theater style. Need five breakout rooms for Wednesday pm – (2) at 150; (2) at 100; and (1) at 70. Seating for these should be classroom style. We will also need smaller breakout rooms for Thursday for maybe 20-30 people each (5 or 6 rooms) set up in a large open rectangle if possible. If not, classroom style. Friday morning will be general session, theater style. Q: How many breakouts are required each day? A: See above. Q: Will breakout meetings begin on the date of arrival? Or do they start the next morning? A: Breakout meetings will begin on Wednesday. Q: Are there any exhibits? If yes, how many and what size/type (tabletops booths/ 8x10s)? A: No. Q: Please clarify the dates in which the OTS conference anticipates being held. A: The dates are September 6 through September 9, 2005 or October 11 through October 14, 2005. Q: With regard to catering services, is breakfast continental or full breakfast/buffet? Is lunch in separate rooms set in rounds of 8 or 10? Dinner - Set in rounds of 8 or 10? Would you prefer a menu selected for each or do you have a budget in mind per function? Please provide the number of meals needed each day. A: Buffet breakfast all three days. Lunch and dinner should be priced at both buffet and full. Lunch and dinner in separate room set in rounds. 600 (estimated)are expected for all meals. Q: Will the first day require only a meal room? A: Requires a room large enough for a reception for 600 (see answer to first question). Q: With regard to the room block—how would you propose that the hotel address attrition if you do not utilize all or a part of the room block? A: The resultant purchase order will not include an attrition clause. OTS will pay based on the actual number of rooms used. OTS WILL NOT pay for rooms that it does not use. Q: Would you prefer that the paperwork, reps & certs etc., be sent immediately or if and when the hotel reports availability? A: As specified in the Combined synopsis/Solicitation, Offerors are advised to include a completed copy of the provisions at 52.212-3, Offeror Representations and Certifications - Commercial Items, with their offer. Provisions may be accessed at ww.arnet.gov/far.(You must register your certifications and representations on line at http://orca.bpn.gov/login.aspx). Q: Will the attendees be making their own room reservations and paying for their own charges? A: The OTS will issue a purchase order as the master billing agreement to cover all meeting related charges. Individual attendees will be responsible for paying for their incidental charges. Q: Will the attendees be making their own room reservations? A: OTS will provide a rooming list. Q: Does the 600-room block have to be in the same conference center/Hotel? Can two or more facilities in close proximity of each other be used to meet the requirement? A: Yes. The facility must be large enough to guarantee the block of 600 rooms for 3 to 4 nights will be located together in one facility with hospitality suites located near the room block. Q: Will all of the attendees arrive at the same time? A: No. Arrival times will be staggered. Proposals are due by 2:00 PM, May 10, 2005.
