Description
The Comptroller of the Currency (OCC), Conference Management (CM), has a requirement for a contractor to provide an available, commercial, off-the-shelf web-based on-line booking system to schedule, reserve and confirm 29 in-house conference rooms. The OCC intends to award a firm-fixed price contract for a base period of three months, and four option years. CM is currently using two different systems. The first one is used to request the conference room, food and beverage, and audiovisual equipment. This system is an in-house system developed by OCC?s IT staff. The second system actually books, reserves, and confirms the room, food and beverage and all audiovisual equipment. The OCC pays an annual fee to use this system. The system must be real time, offer response tracking with a conference room request, handle multiple dates, and have the capability to send emails from within the system. It shall have the capability to request and confirm catering, and capture catering costs, capability to request audiovisual equipment, request accommodations for people with disabilities, and capture multiple room sets. The system must have the capability to look up an event and have all activities associated with that event (such as catering, audiovisual, conference room booking, etc.). It must have an administrative function. It must capture special written instructions to support any request made to the Conference Office. The system must have the capability to notify not only the individual requesting the room, but also the meeting sponsor and the expected attendees at the same time a room change is required or a cancellation occurs. The contractor must also meet mandatory requirements listed in the RFQ. The Request for Quotations (RFQ) is not set aside and will be procured using simplified acquisition procedures under the Test Program for Certain Commercial Items in FAR Subpart 13.5. The North American Industry Classification System (NAICS) Code is 423430 and the Size Standard is 100 employees. The OCC anticipates issuing the RFQ on May 16, 2005 at www.fedbizopps.gov. The RFQ including amendments, will be distributed through the www.fedbizopps.gov website. Interested parties are responsible for monitoring the web site to assure that they have the most up to date information about this RFQ. Paper copies of the RFQ will not be available.
