Description

The National Vessel Documentation Center, located in Falling Water, WV. Is seeking a Service Maintenance Plan for the repair, preventive maintenance and services for all fax and copier machines listed herein. The Contractor shall provide on site service and maintenance for all fax and copier machines as required by the NVDC for the period of service: 01 MAY 2005 THROUGH 30 APRIL 2006. This agreement is planned for a three year contract (one base year with two option years). Quotes should reflect the price for the base year and each option year. This will be a best value award using the following criteria for award: Low price will account for 80% of the criteria and the years of service the company has in the repair and maintenance of Canon copiers will account for 20% of the award criteria. The Service and Maintenance shall include all labor, factory trained technicians, test equipment, maintenance materials, service materials, loaner equipment, parts and components to repair and service these machines. The agreement will EXCLUDE paper, toner, ink and staples. The Contractor shall provide on-site maintenance service on an as needed basis, as determined by the Government. The Contractor shall provide a quote per machine per month. For all copy machines the Contractor shall include the maximum copy charge per machine and the rate at which the government will be charge for each copy in excess of this maximum amount. All maintenance response time shall commence within a 4- hour period from the time the contractor is initially contacted. The Contractor shall provide a qualified technician on-site to commence repairs within 4 hours of the telephone request. Response hours are based on the normal business hours of this government facility Monday ? Friday 8:00am to 4:00pm. In the event the Contractor is unable to complete the required repairs and restore the equipment to a fully operational status within a 24-hour period, the Contractor shall provide, if requested by the Government user, a loaner copier or fax machine. The loaned equipment must use plain paper and be capable of performing basic copying and fax requirements and be in good working order. The Contractor shall provide any consumable supplies, other than paper, required for operation at no additional cost. The Contractor shall demonstrate how the loaned equipment functions and provide a basic users guide. Any repair or service outside the scope of normal service maintenance that will incur a cost to the Government must be approved by the Contracting Officers Representative (or designee). A site visit to ascertain the current condition of the equipment may be scheduled by contacting Ms. Gina Carbaugh at (304) 271-2400 (see FAR Clause 52.237-1 below). Contractor employees will be required to check-in with the COR (or designee) when on NVDC premises and checkout upon departure. By submission of a quote, the quoter acknowledges the requirement that prospective awardees must be registered in the Central Contractor Registration (CCR) database prior to award of any Purchase Order resulting from the Request for Quotation.
