Description: Question and answer for solicitation W91RUS-05-R-0002: Q1: In Section C.4.7 it is stated that images of faxed, or to be faxed documents, if stored on Internet accessible devices, must be eradicated once the image is processed, or after a predetermined period of time that is acceptable to the Government. Late r, in Section C.7 Reports, it is stated that both outgoing and incoming fax transmissions, shall be logged and viewable in electronic and paper media so that the auditing of the fax process can be facilitated. Interpretation of these sections are as follows: 1. In Section C.4.7, believe the operative word is Internet accessible. Interpret this to mean, that the image is only allowed to be stored for the duration of the transaction. 2. In Section C.7, clarification is needed to understand if your requirement is to store the images of the outbound and inbound fax documents, which seems to be in conflict with Section C.4.7, or just the details of the transaction. Please clarify the the two sections. A1: Agree with the assessment as far as what Internet Accessible means. Locked down network drives are not. As far as reports go, line item accounting of every fax sent and received, usually at monthly intervals. This more than meets the auditing requirements.
