Description
Questions and Answers to solicitation W91RUS-05-R-0002: Q1. Is the storage requirement only for inbound fax documents to the individuals account mailbox or is also required for outbound fax documents? A1. Storage is for inbound only (see expanded answer below). Q2. Documents of type covered by this solicitation may be required to be stored for long durations (i.e. up to 7 years)? Should the response provide for the capability for storage beyond the stated storage amount and also beyond the expected term of the contract for the secure fax services. A2. No(see expanded answer below). Q3. How is the system expected to respond in the event a user exceeds the allotted storage space (e.g. 50MB, 200MB)? Should it overwrite oldest entry, not store the fax, dynamically expand storage for additional fee? A3. Information is time sensitive. Internal processes require MTF personnel to remove system on a daily/routine basis. To date inadequate storage space has not been a problem(see expanded answer below). Expaned answer for Q1 through Q3: Inbound faxes are NOT sent by email, they are downloaded directly from a secure server, email storage is not an issue at all. The only storage issue is internal disk drive space, something that is easy to remedy and an internal issue. At Madigan we store our incoming faxes on a network drive that is access restricted to those who must have access and no one else. This provides long term archives for incoming documents and places no load on any external (I.E. Mail) servers. Bottom line there are NO STORAGE ISSUES FOR MAIL SERVERS at all, provided the established procedures for sending and processing incoming faxes are followed.
