Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The Ohio Army National Guards is soliciting bids for the FY 05 Family Readiness Conference. The Conference is to be held in Columbus Ohio. The dates for the conference for 2005 in order of preference are April 1-3, 8-10 or 15-17. The Bids will be evaluated based on the following: Price: how your bid compares to the other bids, room rates are critical to this bid because they represent the majority of cost. If your bid exceeds the per diem room rate of $75.00 your bid will not be considered. Please specify if your room rates includ e local bed tax or not. We are tax exempt, do not include sales tax. I expect room rates below the per diem rate, due to the quantity required. Parking: is there sufficient parking to accommodate all attendees? Is their any charge for parking How convenient is the parking? Location: How convenient is the location and how close is the facility to restaurants and other family type activities? Facilities, will be evaluated based on ease of use and convenience. This bid is for one year with four renewable option years. Please provide pricing for the following line items: 1. 120 sleeping rooms for Friday and Saturday night. Room rate with bed tax_________ 2. Access to set up and decorate banquet room no later than 2:00 p.m. Friday night, cost for banquet room____________ 3. Three large tables in lobby area to accommodate registration for adult and children attendees in place no later than 5:00 p.m. Friday, Cost_________ 4. Vendor tables to be set up through main lobby or hallway surrounding the banquet room where the conference attendees will be all weekend. 10-15 tables, with the flexibility on count up until the week of event. Set up no later than 3:00 p. m. Friday, Cos t______________ 5. Adult Banquet room for Friday night general session to hold approximately 400 adults with two 10 X 10 foot screens placed in two forward corners of the room that can simultaneously receive projection from LCD with laptop on a video cart. LCD, a laptop a nd video to be included in this bid for evening event. Provide podium, one livelier microphone, and one microphone for podium with cord. Room set up to be completed no later than 5:30 on Friday, Cost__________ 6. One large childrens meeting room for childrens registration and holding area until the children go off site. Expect 100-150 children for registration, cost______ 7. Four adult break out rooms for Saturday each with 6 X 6 screen with video cart, laptop (laptop to read CD and floppy disk) with projector, cost_______________ 8. Five lavaliere microphones for adult break out rooms, one each for adult breakout rooms on Saturday and one classroom set up with two microphones for adult teaching, cost__________________________ 9. Paper easels with markers one for each classroom on Saturday, cost___________ 10. One small classroom on Saturday for JAG support team with six worktables ,chairs and electrical access for computers and printers, cost______________________ 11. One small class room Saturday for Military ID card processing. Large enough for one computer workstation, eight chairs, access to electricity and one analog phone line, cost__________ 12. One large room to allow for gathering of 100-150 children before they go offsite, Needed first and last hour of the days scheduled events, cost_______________ 13. Four table top one podium microphones set up on Sunday for Town Hall Meeting, podium set up with tables on both sides to accommodate eight chairs on each side. Total of five microphones to be set up on riser system, cost______________ 14. General Session Ro om set up on Sunday for 400 attendees with tables (classroom or round), Awards table set on floor in front of podium with cover. Standard two six foot tables side by side, LCD laptop computer with LCD video projector with 10 X 10 screens to project simul taneously same set up as Friday night. Laptop must be able to read floppy disk and CD, with complete video cart, cost________ 15. Light snack buffet to be contracted separately, to be available in rear of banquet room open at 6:00 p.m. and to remain open until food is gone. Do NOT quote on this item. 16. Break selections for Saturday morning, Saturday afternoon and Sunday morning. Snacks with coffee, juice in a.m., bottled water, pop and cookies in p.m. figure bid based on 325 attendees.
