Description
The Social Security Administration (SSA) intends to negotiate on a sole source basis with the Westin Hotel in Chicago, Illinois for the acquisition of meeting rooms, audio/visual equipment, refreshments, etc. for the eDib Planning and Implementation Meeting conference to be held on August 2 ? 5, 2004. To limit the travel expense of the participants, the Chicago downtown area is preferred as the conference site location. It is mandatory that several restaurants be within a 2 block radius for attendees who will be on travel. An estimated 300 individuals will be attending this conference. SSA will require approximately 1,000 sleeping rooms for the period August 1-5, 2004, at the prevailing Government rate. The conference space will include one large ballroom with 8 classroom and theater style meeting rooms that will accommodate 300 attendees. Light refreshments for morning and afternoon breaks will be required. The dates of this conference are restricted to August 2 ? 5, 2004 in order to accommodate the SSA?s DDS administrator, Deputy Administrator and the regional office staffs schedule. SSA has researched numerous hotels in the Chicago area based on the requirements specified above. No other source is known to SSA that is capable of supplying the required rooms, equipment and space for the given timeframe. Any source submitting a written response to this synopsis shall include sufficient documentation to establish a bonafide capability to fulfill the requirement and must be compliant with the Hotel and Motel Fire Safety Act and the Americans with Disabilities Act. A SOLICITATION IS NOT AVAILABLE. Interested parties that believe they can provide the required service must respond to this notice no later than 12:00 noon EST June 9, 2004. Responses should be emailed to michele.tubman@ssa.gov or addressed to the Social Security Administration, Office of Acquisition and Grants. A determination by the government not to compete this proposed contract is solely within the discretion of the government. Information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. The Government will not pay for any information submitted. Requests for copies of a solicitation in response hereto will not be honored or acknowledged.
