- The Equal Employment Opportunity Commission (EEOC) is seeking to obtain the services of a contractor to provide a full service training facility to include training rooms, a separate luncheon room, snacks/beverages, audiovisual equipment and training aid support. This replaces the Announcement (Combined Synopsis/Solicitation RFP0408-Excel Conference 2004) posted at the FEDBizOpps website on 01/29/04, which has been cancelled. (NOTE: All contacts and discussions/negotiations on this solicitation and the resultant contract will be limited to the training facility, i.e., hotel/conference center and the EEOC). The requirements of the resultant contract will not be handled by a third party). The location of the seminar will be in Las Vegas (on or adjacent to Las Vegas Blvd), from August 29, 2004 through Thursday, September 2, 2004 (Preferred Dates). The alternative dates are from August 22, 2004 through Thursday, August 26, 2004. The offeror will be required to provide a written statement as to which dates, i.e., Preferred and/or Alternative, are being offered to perform the required services under the resultant contract. The seminar will begin each day at 8:30 a.m and end at 5:00 p.m. Breakfast will be served starting at 7:00 a.m to 8:30 a.m. EEOC anticipates a minimum of 200 to a maximum of 600 participants will attend. LODGING: The EEOC estimates that approximately 500 sleeping rooms will be required for attendees. This block of rooms must be available through a cutoff date to be determined upon award of the resultant contract. The Contractor shall provide these rooms at or below the Federal government lodging rate for the Las Vegas, NV area. Room arrangements and payments shall be made by the attendees. Estimated costs of these rooms are not included in the Statement of Work. EEOC estimates that additional rooms will be required for EEOC staff and guest speakers for a total of 160 nights of lodging between August 28, 2004 and September 2, 2004 (Preferred Dates) or August 22, 2004 through August 26, 2004 (Alternative Dates). The majority of the sleeping rooms will be needed between Sunday night and Wednesday nights. Estimated cost for these room are included in the Statement of work Request for Proposals (solicitation) will be available about March 4, 2004 and will be distributed through the FedBizOpps website, http://www.fedbizopps.gov. Sealed offers (original and 4 copies) for furnishing the required services in the schedule are due at 2:00 p.m., Washington, DC local time on March 22, 2004 (Closing Date). Offers sent through the U.S. Mail (including U.S. Postal Service Express Next Day Service) must be addressed to: Equal Employment Opportunity Commission (EEOC), ATTN: Caroline A. Fowler, Procurement Management Division, 1801 L. St. N.W. Rm 2505, Washington, DC 20507. All hand-carried offers including those delivered by private delivery service (i.e., Federal Express or Airborne Express) must be delivered to the EEOC Security station located in the lobby. All offerors should allow extra time for internal mail distribution. EEOC is a secure facility and EEOC personnel are only available to receive hand-carried offers during normal working hours, 7:30 a.m. - 4:30 p.m, Monday through Friday, excluding Federal Holidays. All future information about this acquisition, including solicitation amendments will also be distributed through the FedBizOpps website. Hard copies of the solicitation document and its related documents, as appropriate, will NOT be available. The EEOC requires the prospective contractor to be registered in the Central Contractor Registration (CCR) database prior to award of the resulting contract in accordance with Federal Acquisition Regulation, 52.204-7, Central Contractor Registration. Processing Time, which normally takes 48 hours, should be taken into consideration when registering. Potential offerors who are not registered should consider applying for registration immediately if interested in responding to this solicitation. Interested parties are responsible for monitoring the FEDBizOpps website to assure that they have the most up-to-date information about this acquisition. Because this solicitation and its related documents, as appropriate, will be posted at on the FEDBIZOpps website, interested parties are encouraged NOT to send letters or e-mails or faxes requesting the RFP.
