Description
The Corporation for National and Community Service, a wholly-owned Government Corporation, intends to award a contract to a qualified vendor who can provide sleeping rooms, meeting space and meals for AmeriCorps VISTA Early Service Training on February 10-13, 2004 for 210 participants. The following will be required:  Beginning February 10, 2004 at 10:30 a.m. the registration area in the lobby of the facility should be equipped with 4 six foot tables, 2 easels with pad and a trashcan.  Vendor must have organic banquet service facilities.  Dinner (served at 6:30 p.m.) for approximately 210 persons on days 1-3 of training.  Breakfast (served at 7:00 a.m.) for approximately 210 persons on days 2-4 of training.  Lunch (served at 11:45 a.m.) for approximately 210 persons on days 2-4 of training.  Morning breaks on days 2 -4 (220 people). The morning breaks shall consist of coffee & tea.  The afternoon breaks of coffee, tea, soft drinks and light snacks. Afternoon breaks on days 1 -3 (210 people). 20% of all meals are estimated to be kosher or vegetarian.  All meeting space and breakout rooms should free of any obstructions or visual impairments  One large meeting room for approximately 210 people (round tables) on days 1-4.  Seven (7) breakout rooms to accommodate 4 round tables of 8 each for days 2-4. All breakout rooms must be free of obstructions and free of excess noise.  Sleeping rooms needed: 105 Doubles: February 10 -13, 2004. 10 Singles: February 10 ? 13, 2004  Audiovisual equipment to consist of:  (1) telephone at the registration desk and trashcan.  (3) easels, pads & markers in each breakout room on days 2-4 (total 21).  (1) wireless hand held microphone on days 1-4.,  (1) Monitor and VCR for three (3) days.  (1) Overhead Projectors and screen in each breakout room on days 2-4 (total 7). Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. All proposed prices must be inclusive. For example, audio-visual rentals and the cost of food must include gratuity if applicable. This announcement is for solicitation of proposals for upcoming training event. The solicitation number is ESTGAFEB04 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 02-05. The North American Industry Classification System (NAICS) number for this requirement is 721110, Hotels (except casino hotels) Motels and the small business size standard is $5M. The provisions at 52.212.1, Instructions to Offers, Commercial, applies to this acquisition. This is best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions, Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders, Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21, 52.222-22, 52.222-23, 52.222-41, 52.225-3, and 52.232-34. Quotations must be submitted in writing, signed by a person authorized to negotiate on behalf of the vender with the Government and sent to the address in this announcement. Responses to this RFQ are due at the above office by COB, 5 January 2004. Only those venders located in Downtown area of Atlanta, GA need to respond.
