Description
The Equal Employment Opportunity Commission (EEOC), through the Offices of the Chair and Human Resources, is conducting a conference for approximately 150 EEOC senior executives and managers on January 13-16, 2004 (Alternate Date: January 20-23, 2004). The contractor selected to host this conference must have space available on the above mentioned date(s). The conference meeting rooms must be able to accommodate 150 participants. The contractor must have a full service facility with adequate lodging, meeting rooms, storage space, audio-visual equipment and training aids. The required meeting space consists of 1 large room to accommodate 150 guests, 7 small to medium rooms for breakout sessions to accommodate 20-25 guests in each room, 1 large room for evening reception to accommodate 150 guests, and 1 small room with table and 2 chairs near conference rooms. The facility must be located within a 50 mile radius of the EEOC's Headquarters located at 1801 L Street NW, Washington, DC. The contractor must be able to provide all guest rooms at the U.S. Government rate (or lower) or reduced corporate lodging rate. Guest rooms must be located within the same building or in close proximity of the meeting rooms. The facility must meet all Americans with Disabilities Act of 1990 requirements, including accessibility to the facility and its public restrooms. The facility must be equipped with appropriate walkways, ramps, parking, and elevators above the first floor, and a reasonable number of smoking and non-smoking guest rooms. The contractor shall not require conference participants to pay in advance for the first night of lodging. The schedule and range of guest rooms required for this conference are as follows: Jan 13 or 20 - 90 sleeping rooms, Jan 14 or 21 - 120 sleeping rooms, Jan 15 or 22 - 120 sleeping rooms, and Jan 16 or 23 - 20 sleeping rooms. Audio-visual equipment and training aids consisting of 1- LCD projector, 1 - large screen, 1- podium with microphone, 2 - lavaliere microphones, 3 - portable microphones, 1 - VCR, 1 - television monitor, internet access, 1 - telephone, 9 - flip charts, 9 - flip chart stands, and 1 - box of 4 flip chart markers (assorted colors) will be required on the following dates: Jan 13 or Jan 20, Jan 14 or Jan 21, Jan 15 or Jan 22, and Jan 16 or Jan 23. Food and beverage service will be required for breakfast, mid-morning-refresher (coffee, tea, water, fruit and pastries), lunch, mid-afternoon-refresher (coffee, tea, soft drinks, water, fruit and cookies), and dinner. The contractor shall provide dinner (for up to 90 people) for guests that arrive on Jan 13 or 20. alternate day. An evening reception (for up to 150 guests) consisting of hors d'oeuvres and cash bar is required on Jan 14 or Jan 21. The schedule and number of guests for food and beverage service consisting of breakfast, mid-morning-refresher, lunch, mid-afternoon-refresher, and dinner is as follows: Jan 14 or Jan 21 - 150 guests, Jan 15 or Jan 22 - 150 guests, and Jan 16 or Jan 23 - 150 guests.No telephone calls will be accepted.
