Description
The Corporation for National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, conference space and meals for AmeriCorps*VISTA Tribal & Cross-Stream training (for 3 days) and Supervisor training (for 3 days). This training will take place in the metropolitan Albuquerque, NM area October 27-November 1, 2002. Registration: Two large tables set up in the assigned registration area outside the main meeting room beginning at noon on Oct 27 and remaining until the morning of October 31. Sleeping rooms: Oct 27 -20 singles; Oct 28 ? 20 singles; Oct 29 ? 120 singles; Oct 30 ? 120 singles; Oct 31 -120 singles; Nov 1 -up to 10 people may need to stay overnight with dinner and next morning breakfast (voucher method would be acceptable). Meeting Space: One (1) general session Oct 27-Nov 1, 2002 set in rounds of eight (8). Oct 28 ? 29, one break out room with four (4) rounds of eight (8) with overhead, screen, flip chart. Oct 30-31, five (5) break out rooms with four (4) rounds of eight (8) with overhead, screen, flip chart ? plus one (1) additional breakout room with high speed internet access line, overhead screen, flipchart (to accommodate 25 people). Nov 1 ? only five original breakout rooms (not need internet line). Meals: Oct 27th - Buffet dinner for 20 participants from 5:00-7:00pm. For Oct 28th (for 20) full buffet breakfast, AM break, buffet lunch, PM break and buffet dinner. For Oct 29th (for 20) full buffet breakfast, AM break, buffet lunch. New group of participants will check in that afternoon. Oct 29th ? buffet dinner for 120. For Oct 30th (for 120) full buffet breakfast, AM break, buffet lunch, PM break, buffet dinner. For Oct 31st (for 20) full buffet breakfast, AM break, buffet lunch, PM break, buffet dinner. For Nov 1st (for 120) full buffet breakfast, AM break, buffet lunch. Up to 10 people may need to stay overnight with dinner and next morning breakfast (voucher method would be acceptable). Refreshments: To be served each morning and afternoon of the training. Morning breaks may consist of coffee, tea and light snacks; afternoon breaks should include cold drinks, coffee, tea and light snacks. Proposed menus must be included in your proposal. Audio Visual Equipment: General Session: One projector screen, one overhead projector, one flip chard, lapel microphone, hand held wireless microphone. Monday ? Wednesday one (1) TV/VCR, cart, and 10 X 10 screen. For breakout rooms: (Monday ? Friday) overhead, screen, and one flip chart. Wednesday and Thursday (for additional break out room) High speed internet access line, overhead, screen, flip chart. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle service available to and from area airports on Nov 3rd and Nov 9th 2002. . Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, and scheduled meeting costs for these guests should be included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Vendor must provide on-site representation during all dates of the event for coordination, problem solving and decision making. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is SWSC-11-03 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-23. The provisions at 52.212.1, Instructions to Offerors?Commercial, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications?Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions?Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders?Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement.
