- Description
- The Department of Justice (DOJ), Conference and Contract Section, intends to award a contract to a qualified vendor who can provide sleeping rooms, meeting space and meals for conference services in New York, NY on September 8 through 10, 2002. These dates have been pre-established and are unlikely to change; therefore, interested vendors must be able to provide accommodations available for the date(s) listed. The conference venue must include at a minimum: 1. Meeting Facilities - September 9 and 10, 2002 (8:00 am - 6:00 pm)- Meeting space to accommodate 50 people in rounds. 2. Audiovisual Requirements: - September 9-10, 2002, Podium and Mic., LCD, Screen, 4 Flip Charts, notebooks & pens. 3. Sleeping Rooms - 20 sleeping rooms must be available for the nights of September 8-10, 2002 (checking out on the 11th). A rooming list will be provided. A total of 60 sleeping rooms. Each participant is responsible for incidentals, damage, etc. 4. Catering Requirement: September 9, 2002 - Continental Breakfast (40) Working Buffett Lunch (40) Afternoon Snack (40) Coffee Refresh all day September 10, 2002 Continental Breakfast (40) Working Buffett Lunch (40) Afternoon Snack (40) Coffee Refresh all day Location - The hotel must be located within a 20 block radius of Office of the Chief Medical Examiner, 520 First Avenue, New York, NY 10006. Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. Prospective vendors are to submit a quote that include a written proposal addressing all of the services, proposed menus, types of accommodations and equipment to be provided. Proposals are to be priced under the following topics, which include total and itemized rates/prices, quantities: Lodging, Catering, Meeting Facilities, and Audiovisual. Download attachment I of this solicitation at http://www.fedbizopps.gov for minimum requirements. (see attachment I). The requirement will be procured under Far Part 12, Acquisition of Commercial Items. FAR 52.212-3, Offeror Representations and Certifications-Commercial Items, must be completed and included with any and all offers submitted in response to this solicitation. FAR Clauses 52.212-4, Contract Terms and Conditions-Commercial Items is hereby incorporated by reference. The Clause at 52.212-5, Contract Terms and Conditions Required to Implement Statutes or Executive Orders-Commercial Items is hereby incorporated by reference.
