Description
The Department of Justice (DOJ), Multimedia Management Section, intends to award a contract to a qualified vendor who can provide sleeping rooms, meeting space and meals for conference services in Minneapolis, MN, on June 24 through 28, 2002. These dates have been pre-established and are unlikely to change; therefore, interested vendors must be able to provide accommodations available for the date(s) listed. Requirements for the conference are as follows: Meeting Facilities - One meeting room to accommodate 200 people (June 24 through 27, 8:00 AM to 5:00 PM; and June 28, 8:00 AM to 12:30 PM). A speaker's podium is required. Business Work Room - One room, close to and preferably adjacent to the meeting room, with data lines, tables and seating to accommodate ten computer workstations, must be available throughout the conference. Audiovisual Requirements: - The meeting room must be equipped with a public address system, one podium microphone, five cordless microphones, two LCD projectors and two projection screens measuring at least seven by seven feet. The Government may elect to contract separately for this requirement. Contractors' proposals should include it as a separate line item. Sleeping Rooms - Ten rooms must be available for the nights of June 23 through June 27; an additional 180 sleeping rooms must be available for the nights of June 24 through June. Each participant will be solely responsible for calling to make their individual room reservations, incidentals, damage, etc. All reservations will be completed by the participants no later than 30 days prior to the conference (by close of business (cob) on May 24, 2002). Any rooms not reserved by that time may be released. Catering Requirements - Continental breakfast for 200 persons each day (June 24 through June 28), afternoon snack for 200 persons each day (June 24 through June 28), and a themed dinner for 200 persons on the evening of June 24. Location - The hotel must be located in Minneapolis, MN, and have a minimum three diamond rating or equivalent. Preference will be given to hotels proximate to the Minneapolis airport, Fort Snelling National Cemetery, and within walking distance of The Mall of America. Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. This procurement shall be conducted utilizing Simplified Acquisition procedures. Award - The Government intends to award a firm fixed price order, making use of simplified acquisition procedures. It is the desire of the Government to issue only one purchase order to the contractor who can satisfy all the aforementioned requirements. Quotations will be evaluated using Best Value selection procedures which seeks to select an offer based on the best combination of price and qualitative merit. The statement of work serves as the Government's baseline requirements; however, the following characteristics will also be evaluated to assist the Government in making a best value determination. 1. Convenience of transportation. 2. Facility Amenities. 3. Personal/Room Amenities 4. Convenience and Security of Location/Facility. Government representatives intend to make site visits in order to further determine best value.
